About the opportunity:
This position is responsible for providing administrative oversight for developing new clinical services for the functional medicine and longevity clinics and practice management for the 28-bed inpatient psychiatric hospital within the Vail Health Behavioral Health (VHBH) service line. This position will be responsible for developing and implementing the new electronic medical record for the inpatient facility. This position will establish and implement effective procedures for new clinical operations including, clinic workflows, patient communication, scheduling, patient intake, payment collection, collaboration with providers to develop and implement business strategies to meet practice goals, monitoring clinical inventory, ensuring accurate data entry into the electronic health record (EHR), data collection to meet regulatory and compliance requirements, and tracking patient satisfaction goals to improve patient experience and quality access to care.
What you will do:
- Develops new administrative policies, procedures, and workflows for establishing a functional medicine practice within the VHBH service line, ensuring the delivery of quality patient care is financially sustainable. Works collaboratively with internal and external providers to develop, implement, and monitor workflows to minimize provider administrative burden and maximize patient-facing hours. Acts as the office manager for the newly established VHBH functional medicine clinics.
- Trained as a super-user of the BH outpatient electronic health record (EHR), and primary point of contact for the new BH inpatient EHR development and implementation. Plays a lead role in implementing and testing inpatient EHR and other practice management IT systems for functional medicine. Assists BH leadership and IT staff in identifying, recommending, and implementing system improvements to improve back office and patient-facing systems to improve efficiency and customer service.
- Will supervise a team of patient access representatives once the psychiatric inpatient facility opens in 2025.
- Coordinates with external and internal entities, including Colorado Mountain Medical, SPRI, and other medical organizations for identifying and developing best practices for patient referrals and care coordination for newly established functional medicine clinics and the VHBH Innovation Center (VHBHIC) research participants within the VHBH service line. The position will support functional medicine and longevity clinic provider credentialing, patient intakes, documentation requirements, compliance with legal and regulatory requirements, revenue cycle billing and reporting, and future staffing needs to establish and expand functional medicine clinical operations in the Vail Health system.
- Works with the revenue cycle and billing department to ensure the timely and accurate completion of patient registrations and charge entry. Conducts regular audits to identify areas for improvement in registration, coding, and billing, follows up with direct reports on findings on a timely basis, and takes corrective action as appropriate.
- Manages BH phone tree for the VHBHIC, functional medicine, and future inpatient facility and coordinates with external and internal entities for data collection, dissemination, compliance, and staff training, such as de-escalation and trauma-informed care.
- Develops and implements performance metrics based on benchmarked Key Performance Indicators (KPIs) and Key Risk Indicators (KRIs) to track departmental deliverables. Monitors registration reports and performs audits every week or other frequency as directed to identify trends and areas for improvement. Works with the team to improve practice management processes as needed.
- Performs data management, analysis, and project management responsibilities associated with Federal, state, and department-mandated regulatory compliance for patients engaged in functional medicine, VHBH research, and/or future inpatient services. This includes increasing health equity and patient access to care.
- Orders supplies and manages facility requests for functional medicine, VHBHIC, and the psychiatric inpatient facility.
- Provides support for urgent administrative needs outside of business hours. Provides practice management front desk coverage for VHBH inpatient services and manages phone lines during staffing shortages and other times when needed.

What you will need:
Experience:
- Five years of experience in a medical patient access environment, required.
- A minimum of two years of supervisory experience, preferred.
- Experience developing and implementing administrative procedures for new medical clinics, highly preferred.
- Must be able to manage the operational flow of a medical setting and demonstrate critical decision-making to successfully meet operational goals.
