General Overview
The HR Coordinator provides broad support to the Human Resources Department and is responsible for front-line customer service. Prioritizes and performs a variety of functions including trouble shooting and responding to management, staff, and job candidates. This role is responsible for POI processing and records maintenance in a timely and efficient manner. The HR Coordinator takes an active lead in HR-sponsored events for the Hospital. The HR Coordinator will also assist in the coordination of special projects and work on other assignments as needed.
Responsibilities
- Responsible for first-line coverage of all phone and walk-in traffic to the HR Department.
- Prepares and submits Re-CORI information and maintains/tracks CORI results. Notifies HRBP/Recruiter/VP of HR of any issues as they come up and sends clearance notifications.
- Troubleshoots issues/problems related to the HRIS/ATS/HealthStream systems.
- Assists workforce members with setting up User IDs or troubleshooting logon issues.
- Answers basic questions related to employment, policies, pay, benefits, etc. within scope of ability and responsibility and triages other inquiries as appropriate. This may include questions from all levels of staff. Refers staff to ASKmyHR to submit tickets and search for information that they are seeking.
- Plans and coordinates department events, including PIE, VOE, Service Awards, BBQ, Ice Cream Social, etc.
- Submits and manages all Purchase orders, invoice reconciliation related to special events.
- Takes an active role in audits including Joint Commission, DMH, BSAS, EEC, etc
- Provides backup to New Hire Coordinator, taking new hire appointments, I-9, E-verify documents when they are not on site, EEC RE- CORI submission, ME Drivers license audit, BSAS biannual background checks, maintain queries and follow eah monthly etc.
- Responsible for handling employee PERKS and discounts, including regular audit and accountability for cash flow.
- Tuition Reimbursement Responsibilities overseeing the process from employee submission to payment of reimbursement, following policies and procedures:
o Approves/Denies all tuition reimbursement requests via HRMS system in a timely fashion.
o Interprets and enforces policy with guidance from HR management
o Communicates with employees regarding questions/clarifications or denials.
- Performance Appraisal Responsibilities:
o Reviews all performance appraisals received for completion
o Approves transactions in HRMS system in a timely fashion
o Loads all documentation in OnBase electronic filing system
o Follows up as appropriate on missing documentation/transactions
- RE-CORI Responsibilities:
o Processes all EEC, MBC (State of Maine), and Adam Walsh CORIs.
For EEC CORIs, follows up on all fingerprinting requirements
o Conducts audits and coordinates re-CORI requirements for EEC and MBC
o Utilizes PeopleSoft functionality to track CORI clearances in the employee record.
- HealthStream Responsibilities:
o Assigns trainings as needed
o Runs completion reports
o Follow up on non-completions of annual trainings and new hire trainings as needed
o Troubleshoots basic problems and questions from employees – in person, via email and via ServiceNow system
- Orientation Responsibilities assisting HRBP’s:
o Ensures all HealthStream trainings are properly assigned to new hires
o Ensures completion of HealthStream trainings following NEO for tracking and compliance
- Other duties may include specialized projects, assistance with audits (Joint Commission, EEC, etc.)
- Performs other duties as assigned.
Qualifications
- Bachelor's degree preferred.
- 1-3 years previous experience preferably in Human Resources or healthcare setting.
- Experience with, and working knowledge of, State and Federal employment laws and regulations, HR systems, recruiting, and employee relations preferred.
- Demonstrated proficiency in Microsoft Outlook, Word, and Excel required. Proficiency with PeopleSoft, Powerpoint and Access preferred.
- A combination of education and experience may be substituted for requirements
