We are seeking a HR Operations Coordinator to join K&L Gates. The candidate will be primarily responsible for maintaining HR and recruiting data and utilizing HR systems to gather information and respond to varied internal and external HR data requests and data reporting. In addition, this position provides administrative and systems-related support as an integral member of the HR Operations team. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

KEY RELATIONSHIPS
Local and global HR team, lawyers, employees, and leaders (including staff, Directors of Administration, and other leaders)

ESSENTIAL DUTIES
  • Assist with HR Compliance & Operations and HR Information Systems in responding to HR data requests (diversity; recruiting; attrition; practice group; RFPs/BD, Marketing, Management Committee; etc.);
  • Assist with building annual HR processes and internal surveys in viDesktop system (annual review processes; summer associate process; acknowledgement of policies; staff and lawyer exit survey; 30-day new hire survey for staff; integration survey; etc.);
  • Assist with HR systems data-entry;
  • Design and build necessary reports for dashboard development (related to recruiting, integration and retention); and assist with PeopleSoft configuration (including schools, educational degrees, and data entry);
  • Assist in developing and revising user guides and training procedures;
  • Develops and maintains good working knowledge of a broad range of HR systems and procedures, including an understanding of relevant data to select, manipulate, check, organize, and present for a variety of management and administrative purposes;
  • Prepares formal reports, spreadsheets and ad hoc data as requested
ADDITIONAL DUTIES
  • Provides administrative support to the HR Compliance & Operations team
  • Performs other duties and works on ad hoc projects as needed
EXPERIENCE SKILLS REQUIRED
  • Bachelor’s degree
  • Ability to anticipate issues and solve problems, handle multiple tasks and projects, and adjust to changing priorities
  • Ability to compile and manipulate data and have overall responsibility for data integrity
  • Demonstrated ability to learn new information system applications and functions
  • Proficiency in Windows-based software and Microsoft Office Suite, including PowerPoint and Excel; ability to learn new technology
  • Demonstrated understanding and interest in working in the legal industry and with information systems
  • Prior law firm experience preferred
  • Strong work ethic and able to maintain a high degree of confidentiality
  • Exceptional attention to detail and accuracy
  • Excellent written, oral and interpersonal skills
  • Customer service orientation, responsiveness, and strong independent problem-solving skills
ADDITIONAL ABILITIES REQUIRED
  • Ability to work overtime as needed
  • Sedentary desk type office position
  • Daily use of personal computer and associated software systems
  • This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend and stand on a stool may also be required.

Compensation Salary $53,000 - $83,000 / year

The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
