Overview:
We are seeking a full-time Human Resources Administrative Assistant/Receptionist in our Olathe, KS location. In this role, you will be responsible for providing excellent customer service to guests and providing administrative support to the associate base, Executive Assistant Human Resources, Vice President of Human Resources and assisting in other departmental administrative functions in the Human Resources department.
The typical hours for this role are from 7:30am-4:30pm.
Responsibilities:
Essential Functions
Manage Lobby Reception Desk by greeting guests and associates, fielding inquiries, answering phone, booking conference rooms, and providing beverage services as needed
Work with Garmin Cafe staff, IT staff, and/or departmental Executive Assistants to ensure proper preparations are made for conference rooms to be used for meetings and/or conferences
Manage HR Admin email box, maintain HR site through SharePoint, and create monthly HR newsletters
Serve as the main point of contact for associate discounts by communicating and collaborating with external vendors, notifying the associate base and maintaining the SharePoint Associate Discount Site
Serve as the main point of contact for internal and external customers managing the Human Resources Newsflash alerts as needed through SharePoint
Coordinate delivery of flower arrangements and recognition program for Garmin associates according to policy
Coordinate recognition program for Garmin associates according to policy
Assist Executive Assistant with planning and coordination of internal and external events
Assist Executive Assistant with administrative duties such as correspondence, creating reports, forms, letters, filing, typing, scanning and copying
Assist Executive Assistant with preparation and organization of materials needed for presentations to internal and external audiences
Qualifications:
Basic Qualifications
Associate’s Degree AND a minimum of 5 years administrative or relevant experience OR an equivalent combination of education and experience
Must have proven experience dealing with confidential matters
Proficient computer skills in Microsoft Word, Excel, and Outlook
Demonstrated strong and effective verbal, written, and interpersonal communication skills
Must be positive, flexible, self-motivated, resourceful, detail oriented, organized, and team oriented with the ability to work well with others and be a multi-tasker with the ability to prioritize and accomplish tasks in a fast paced, deadline-driven environment
Desired Qualifications
Bachelor’s Degree
Proficient experience working with Microsoft PowerPoint, Access, and Visio
