Human Resources Assistant- Epic Training

Performs a variety of Human Resources support activities depending upon the location and reporting relationship of the position. The Assistant may be assigned responsibilities in HR services areas of Training and Development, Employee Relations, HR Business Directors, Talent Acquisition, Total Rewards, Communications, or HR Operations. Primary duties include administrative human resource related processes and functions, data entry and management, documentation, customer service, administrative support and process improvement. Utilizes technology with nearly all aspects of the job.


  • HR Administrative Support: Exercises technical and clerical abilities and communication skills to provide administrative support. Coordinates and/or schedules meetings, projects, activities, presentations and processes. Teams with other HR staff to support related activities, projects or initiatives. Uses technical competencies to prepare PowerPoint or other presentation formats, create and use spreadsheets, databases and Word documents.
  • HR Processes and Functions: Applies organizational skill, computer software knowledge and technical competencies to execute assigned processes and tasks. May process applications, employee records, correspondence, reports, compliance records, communication documents or any other HR related responsibility. Utilizes computer skills to input data, sort, track and summarize for documentation, monitoring and measuring outcomes.
  • Customer Service and Communication: Uses knowledge of current HR policies and processes and procedures to provide service to internal and external customers. Utilizes excellent customer service and communication skills, either written or verbal, to meet or exceed customer needs. Meets or speaks with customers or communicates through E-mail to interview, provide or solicit information or respond to questions. Provides guidance and resource information as appropriate to the HR service area. Applies consulting, core communication, negotiation and conflict resolution concepts and practices to facilitate positive outcomes in meeting the needs of those involved.
  • Documentation and Compliance: Exercises attention to detail, accuracy and completeness in documentation. Applies organizational skills and sound understanding of HR policies, procedures and processes to achieve expected outcomes. Monitors and tracks outcomes and reports to the respective manager as directed. Maintains confidentiality of employee, applicant and other personal and proprietary information.
  • Quality and Process Improvement: Approaches all tasks with knowledge of expected quality standards. Makes quality of work and excellence in customer service a priority. Participates in performance improvement initiatives. Solves problems or brings to the attention of the appropriate staff or manager. Provides suggestions for performance improvement in any HR area.
  • Supports HR and System Goals: Participates in HR and System scorecard goals. Uses organizational skills to prioritize tasks and responsibilities consistent with HR directives.
  • Service Standards: Promotes Carilion’s Culture of Excellence and quality service through teamwork, respectful communication, maintenance of professional environment, partnerships with those we serve, and anticipation of customer needs.
  • Policies, Procedures and Processes: Adheres to Carilion Clinic and departmental policies, procedures and processes. Maintains competency and completes all required educational activities.

What We Require:


Education:
High School Diploma or equivalent required. Post secondary education in office technology, administrative secretarial or related field including proficiency in word-processing, data bases, and spreadsheets. Associate’s degree preferred.

Experience: One to three years of experience in Human Resources preferred. Experience considered in lieu of Associate’s degree. Working knowledge of Microsoft Office Products is required.

Other Minimum Qualifications: Ability to work without direct supervision; excellent customer service, communication and organizational skills.
