HUMAN RESOURCES ASSISTANT - TRIAGE - job 1 of 2

General Purpose:
Effectively support daily Human Resources Department functions and maintain personnel records for full-time Employees & Temporary Workers in HR File room. Greet all visitors and notify GLOCK point of contact. Act as back-up and assist when needed for HR Assistant functions; triage employee requests as they come into HR.

Duties and Responsibilities (other duties may be assigned):
Organizational Structure/Compensation:
  • On a daily or as needed basis, use discretion and independent judgment in utilizing a company credit card to make purchases for the department.
  • Participates in administrative staff meetings.
Employee Record Maintenance:
  • FTE Terminations- pull and prepare personnel files, initiate termination checklist, deactivate & shred badge, remove I-9 from active cabinet, and send out change of employment status email.
  • Maintain Badge system for all personnel, including Austrian colleagues and new hires.
  • Update and maintain FTE personnel files, including personal data changes.
  • Maintain reportable spreadsheets for FTE new hires and terminations.
  • Keep HR Bookshelf updated with all HR forms.
  • Check Suggestion Boxes weekly.
  • Maintain HR boards for all companies and buildings.
  • Receive and enter employee disciplinary action documentation into appropriate systems and notify ER Supervisor of concerns as needed.
Recruitment/ New Hire Process:
  • Prepare personnel file and appropriate documents for FTE new hires and temp to hires.
  • Ensure External candidates complete the Voluntary Self ID forms and scan into AX or J: Drive, if applicable.
  • Ensure FTE new hire paperwork is completed and accurate for employment in the HRIS system.
  • Initiate and complete hiring process for approved temp to hires, including initiating background investigation and drug screening.
Support:
  • When needed, back up HR Assistant and complete assigned duties.
  • Order and distribute employee shirts.
  • Compose and send monthly newest team member email.
  • Track and distribute employee check-in (30, 60, 90 day questionnaires) for FTE.
  • Support employees with questions and needs regarding company policies, benefits, compensation, etc.
  • Other duties as assigned.

High School Diploma or G.E.D.

Ability to identify problems

Licenses and Certifications:
Valid Drivers License

Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to qualified employees and applicants with disabilities to perform the essential functions.

While performing the duties of the job, the employee is regularly required to stand and sit for extended periods of time and is regularly required to use hands and fingers to type on keyboard, look at monitor and may lift objects in excess of 30 lbs.

Work Environment:
The work environment primarily requires the employee to work inside in a climate controlled administrative office setting and dress business casual in accordance with the GLOCK Employment Policy Handbook. Employee will work regularly scheduled shifts within the department’s hours of operation and may be asked to work overtime and weekends, when needed for special assignments or programs.

Position Type:
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m., but may require some work outside of these hours.
