Position Summary
Reporting to the Corporate HR Director, the HR Benefits Generalist will work with the Sr. Manager Benefits ron the management and execution of the Olam Americas Benefits and Wellness programs. They will act as the primary contact for HR leaders and site HR in administering Olam's health and welfare programs. This individual will be responsible for the day-to-day management of the ADP benefits programming and benefit vendor performance. The HR Benefits Generalist will work closely with the Sr. Benefits Manager complete regulatory annual compliance audits related to benefits programs, pensions, 401k, etc. and equally exceptional employee service and experience. They will assist the HR Services team on projects and initiatives to support the broader HR team and function.
The ideal candidate will be eager to continually learn in the ever-changing Benefit environment, with a strong customer service orientation. This candidate will need to be comfortable with ambiguity and competing demands.
Position Responsibilities
- Along with the Sr. Benefits Manager, support the management and execution of Olam Americas health and welfare plans, including but not limited to medical, dental, vision, life, AD&D, and supplemental benefits.
- Develop benefit program information and training materials for the HR team. Engage in frequent trainings and education on benefit and wellness programs for HR and leaders.
- Remain current on all Olam plan designs, ex: medical, dental, vision and supplemental coverage. research and suggest plan design and program ideas to remain current and competitive in the external benefit environment.
- In collaboration with the Sr. Benefits Manager and Benefits Broker, strategize and implement Olam Americas Health and welfare plans.
- Develop and conduct benefit satisfaction surveys. Review and analyze results to develop action plans for improvement.
- Manage the Olam Wellness program. Research and strategize on programs. Ensure the successful launch and execution of these programs. Work directly with HR leadership to measure engagement and wellness spend.
- Develop key performance indicators to measure success of Wellness Program.
- Work as the primary point of contact for HR leaders and site HR for benefit questions and concerns. Work quickly to provide support and resolve issues. Ensure ongoing communication with HR until issues are resolved.
- Manage employee communication for the benefits team on various topic including but not limited to: Open Enrollment, Wellness, education and promotion of current benefit program and initiatives.
- Responsible for the creation and maintenance of program policies and job aids to ensure consistency of programs and communication.
- Work with the Sr. Benefits Manager on ACA inquiries and assist with marketplace notifications and audits. Ensure proper review of hours against measurement periods in ADP ACA platform.
- Support the process of communication, tracking, and follow up of collection of benefit premiums for employees on leave. Provide guidance and insight to the HR team.
- Remain current on state and federal benefit regulations. Partner with leadership on resulting program updates needed.
- Manage performance of external benefit vendors. Conduct regular audit of vendor systems and support.
- Manage the Open Enrollment Benefit process, including system updates and testing, guides, employee communication and HR training.
- Manage the Olam COBRA process. Manage COBRA vendor on any discrepancies.
- Oversee and direct the work of the Olam Global Business Solutions (OGBS) team. Ensure accurate and timely processing of all delegated benefit assignments.
- Manage OGBS team to ensure weekly funding of Voya Retirement, H.S.A. Bank and Flexible Spending Accounts. Audit employee contributions and file transmissions from ADP.
- Manage OGBS team to ensure all benefit provider invoice processing. Ensure proper coding of billing and partner with Finance and Accounting to resolve any issues.
- Work directly with ADP benefit programmers to ensure benefit eligibility and rate tables are launching as executing as expected. Escalate issues when programs are not working as intended.
- Manage any information request form outside carriers, including Evidence of Insurability, Life and AD&D applications and supplemental plan coverage claim forms, and 401K eligibility requests. Work directly with vendors in application of plan language to ensure correct benefits are payable.
- Responsible for Dependent Verification (DV) Process, including vendor management, ensuring proper HR team access, platform training, and resolving and DV disputes or exception requests.
- During Olam Acquisitions, assist Sr. Benefits Manager in the benefits build in ADP and within external benefit vendors. Provide benefit training for new employees to ensure a smooth transition and onboarding.
- Manage new benefit vendor implementation when necessary.
- Perform other duties as assigned.
Position Requirements
- Bachelor's degree, preferably in Business Administration or Human Resources, is required. Candidates may substitute four (4) years of HR experience in lieu of degree.
- Two (2) years previous Human Resources experience is required, experience working with Benefits is strongly preferred. Candidates substituting experience in lieu of degree require six (6) years previous HR experience.
- Strong communication skills, both verbal and written, are required.
- Proficient skill level with Microsoft Excel and Word is required. Previous experience working with ADP Vantage is strongly preferred.
- Ability to work independently with multiple demands and timelines is required. Should be comfortable working with a team and independently.
- Able to exercise effective judgement, sensitivity, and creativity to changing needs and situations.
- Able to research and analyze information and use said research to suggest solutions.
- High level of integrity, trust, and ethics is required.
- Bilingual, English and Spanish, is highly preferred.
The pay for this role in the state of CA ranges from $65,000 - $85,000 and is based on the position responsibilities and geographic location. Actual pay within this range may be determined based on candidate's experience, qualifications and/or other determining factors.
