About the Role

The Implementation Associate role requires an individual who is self-motivated, flexible, dedicated, and operates efficiently in a demanding environment, and manages high customer expectations well. The individual must be able to multitask between projects while maintaining quality of work. Excellent problem-solving skills and attention to detail are essential along with experience in working in a dynamic team atmosphere. Must be outcome oriented and have the ability to coordinate, and complete multiple project tasks effectively and conduct meetings in a professional manner. Professional interactions with client staff and travel up to 35% are expected.

What you will do

  • Provide project management assistance to Project Managers for planning, scheduling and tracking project and corresponding core activities. Interface with managers, customers and production teams to assist in related coordination efforts. Coordinate and assist project manager(s) by meeting task deliverables and deadlines as assigned by the Implementation Supervisor and/or the Project Manager(s), including but not limited to the following.
  • Primary Duties
  • Create agenda, take minutes with minimal review from Project Manager, own RAID items and workbook updates and own SharePoint site/ Egnyte
  • Create, organize, and manage client program shared inbox(s), respond to inquiries and/ or escalate in a timely manner
  • Participate in and lead internal/ external workstream sessions (i.e. Payroll transition, IC/ Supplier enrollment) - in-person/ remote
  • Lead project workstream when needed (i.e. Payroll transition, Supplier, Independent Contractor enrollment, Change Management, Data, Process & VMS Configuration)
  • Create communications, training materials, videos, FAQs, supplier handbook, SOP (final review and updates from PM may be required)
  • Review and analyze foundational data sets from client, Worker data, Wand/ VMS data validation and audits, MRM, bulk uploads - partner w/ SAM, Config, Payroll, Compliance Teams
  • Provide solutions and suggestions as project risks arise
  • Setup Office Number(s) documents and review with Fin Ops + ISD and Tax for Non-US
  • Ability to manage and prioritize time sensitive project tasks, keeping time zones in mind
  • Prepare and conduct worker, supplier and Independent Contractor trainings in person or via webinar/live meeting
  • Lead the post implementation transition preparation, Client Services transition document completion and meeting
  • Review client document and background check requirements with Project Manager, per the MSA and lead online onboarding requirement setup for payrolled workers
  • Review test script content with Project Manager and lead test script creation, including Wand data staging (UAV)
  • Prepare Lessons Learned decks (internal and external) and collect feedback from client/ internal departments
  • Maintain productivity while supporting clients in multiple time zones, traveling to client sites and working remotely
  • Solution new processes and enhance current process to strengthen efficiency
  • Lead worker orientations and supplier forums
What you will Need

  • Ability to solve practical problems and deal with a variety of changing situations under stress and against tight deadlines
  • Possess the knowledge, communication (written and verbal) and professionalism to support high touch clients
  • Advanced written, verbal, and briefing skills that focus on the ability to convey ideas clearly
  • Strong troubleshooting and time management skills combined with the ability to manage multiple projects and execute engagements to company defined client service standards with a sense of urgency
  • Ability to maintain a professional demeanor and confidentiality
  • Flexible to support/lead late night and/or weekend deployments to production as required
  • Willingness to take ownership of issues and facilitating effective outcomes in a timely manner
  • Strong interpersonal skills with the ability to work effectively independently or in a team environment
  • Ability to adjust and adapt to challenges that arise during the implementation process
  • Ability to travel as needed to support customer implementations
  • Sound judgment, clear thought processes
  • Ability to represent the company and self in a positive and professional manner at all times
Minimum Qualifications

  • Proficiency with MS Office and ability to learn new systems
  • Typing speed of 40 words per minutes.
  • May require lifting and carrying of up to 25 lbs., sitting, standing, walking, and driving
  • 2 years of experience with related skills or 1-year internal PRO implementations experience
  • Additional Qualifications
  • Familiarity with MS Project and Visio a plus
Work Environment
Implementation Associates may be actively involved in several implementations concurrently, with as many as 5-7 implementations all going on at once. Requires both in-housework and travel to client sites, domestic and international. Environment is both fast-paced and mobile. Lots of client communication and interaction requiring excellent communications and presentation skills. Heavy phone use and computer use.

Compensation Package
  • Salary range is $60,000-$75,000 USD annually
  • Salary/ Hourly rate is based on experience, skills, and geographical location.
