Your Role


The Executive Assistant enhances the President & COO’s effectiveness by providing critical support to her. The Executive Assistant is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.


Your Responsibilities


  • In this role, you will support the President & Chief Operating Officer, Chief Financial Officer, and Chief People Officer to enhance the effectiveness by providing critical support. The Executive Assistant is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
  • Manages the schedule and minimizes time spent in email, meetings/calls
  • Responds and handles emails and other work where possible
  • Attends meetings and provides summaries for review as requested
  • Reviews and approves expense reports for direct reports
  • Handles and manages all travel arrangements (air, hotel, transportation, itinerary)
  • Handles all logistics for offsite management meetings
  • Works closely with the Chief of Staff to support the President & COO
  • Processes expense reports
  • Provides general administrative support to other employees, such as meeting coordination and scheduling, travel arrangements, teambuilding events
  • Provides support and coordination of employee events as needed

 

Your Background


  • Experience working at the Executive Assistant level with senior management and senior-level clients, preferably at the Board level
  • Ability to manage complex and highly confidential information
  • Comfortable working autonomously and across multiple tasks
  • Extremely accurate and detail-oriented
  • Knowledge of advanced MS Office applications, including Word, Excel, PowerPoint, and Outlook
  • Excellent social skills, able to operate with diplomacy, tact, and empathy
  • Has a high degree of personal organization, self-management, and resourcefulness
  • Able to work independently and think proactively
  • Comfortable when working to tight deadlines, and able to turn work around within a short time span where demands are liable to change at short notice
