IT Executive Administrator - New College Graduate

In this role, you will report to the Chief Information Officer and work closely with the global IT Leadership team, gaining exposure to a variety of IT functional disciplines such as IT program management, cyber security, enterprise architecture, infrastructure, and IT operations as well as opportunities to explore various career paths through involvement on special projects.


We are looking to add an enthusiastic team player who is just as comfortable collaborating with others as they are working independently in a fast-paced environment. The ability to quicky adapt to feedback and intuitively carry out assignments is a valuable skill. You will be required to exercise discretion and independent judgment in a variety of increasing responsibilities and tasks supporting the business within the IT function.


Duties & Responsibilities


The appropriate candidate will receive the training and support to accomplish the following:


  • Providing high-level administrative support to the CIO and IT Leadership team
  • Managing and maintaining executives' calendars, scheduling meetings, appointments, and travel arrangements
  • Coordinating and organizing internal and external meetings, including preparing agendas, taking minutes, and distributing meeting materials
  • Drafting and preparing various documents, reports, presentations, and correspondence on behalf of the executives
  • Conducting research and gathering information for executive decision-making and strategic planning
  • Acting as a liaison between executives and other staff members or external contacts, facilitating effective communication and coordination
  • Handling confidential and sensitive information with discretion and professionalism
  • Assisting in event coordination
  • Managing executive expense reports and reimbursements
  • Assisting in the preparation of budgets and financial reports
  • Process purchase requisitions and invoices
  • Monitoring and coordinating projects and initiatives on behalf of the executives
  • Overseeing office operations, including maintaining office supplies, equipment, and facilities
  • Handling special projects and assignments as requested by executives


Qualifications


  • BA/BS preferred or equivalent
  • Co-op/Intern experience in Information Technology is a plus
  • Excellent communication skills both verbal and written
  • Proficient in Microsoft Office Suite (Expertise in Outlook, Excel and PowerPoint is a plus)
  • Proactive, self-starter with great customer service skills
  • Highly organized and detail-oriented
  • Team player with a professional, positive approach and who enjoys a fast-paced environment
