Practice Operations Lead

As Practice Operations Lead, you will be responsible for overseeing the day-to-day operations of our clinic locations, ensuring efficient and high-quality care delivery, and driving operational excellence across our practice network. You will report to our Chief Operating Officer and play a crucial role in scaling our healthcare service across the country. This position offers an opportunity to define the future of obesity medicine and to make a significant impact on the lives of patients by helping them improve their overall health. 


Responsibilities:
  • Clinic Operations Management:  
  • Oversee daily operations of multiple clinic locations, ensuring a smooth patient experience, efficient resource utilization, and adherence to company policies and procedures 
  • Develop and implement standardized operational processes across all clinic locations 
  • Monitor and optimize clinic performance metrics, including patient satisfaction, wait times, and engagement 
  • Staff Management and Development:  
  • Recruit, train, and manage clinic staff, including medical assistants, front desk personnel, and administrative support 
  • Conduct regular performance evaluations and provide ongoing coaching and development opportunities 
  • Foster a positive work environment that promotes teamwork, communication, and continuous improvement 
  • Patient Experience Enhancement:  
  • Implement and oversee patient experience initiatives to ensure high levels of satisfaction and care quality 
  • Manage patient feedback systems and develop action plans to address concerns and improve service delivery 
  • Financial Performance:  
  • Monitor and analyze clinic financial performance, including revenue, expenses, and profitability 
  • Develop and manage clinic budgets, identifying areas for cost optimization and revenue growth 
  • Collaborate with the finance team to ensure accurate billing and collections processes 
  • Compliance and Quality Assurance:  
  • Ensure compliance with all relevant healthcare regulations, licensing requirements, and accreditation standards 
  • Implement and maintain quality assurance programs to ensure the highest standards of patient care and safety 
  • Conduct regular audits and implement corrective actions as needed 
  • Technology and Systems Management:  
  • Oversee the implementation and optimization of practice management and electronic health record systems 
  • Identify opportunities for technological improvements to enhance clinic efficiency and patient care 
  • Strategic Planning and Growth:  
  • Participate in strategic planning initiatives for clinic expansion and service line development 
  • Collaborate with leadership to identify and evaluate new market opportunities and clinic locations 
  • Support the integration of new clinics or acquired practices into the knownwell network 
  • Cross-functional Collaboration:  
  • Work closely with clinical leadership to ensure alignment between operational and clinical objectives 
  • Collaborate with marketing and growth teams to support patient acquisition and retention efforts 
  • Partner with product and technology teams to implement and optimize digital health solutions 


Qualifications:
  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field; Master's degree preferred  
  • 7+ years of experience in healthcare operations management in a multi-site clinic or medical practice setting  
  • Strong understanding of healthcare regulations, reimbursement models, and industry trends  
  • Proven track record of improving operational efficiency and financial performance in healthcare settings  
  • Excellent leadership and team management skills, with the ability to motivate and develop staff  
  • Strong analytical and problem-solving skills, with experience in using data to inform strategic decisions  
  • Exceptional communication and interpersonal skills, capable of working effectively across all levels of the organization  
  • Proficiency in practice management software, electronic health records (ideally athena), and data analysis tools  
  • Experience with change management and process improvement methodologies (e.g., Lean, Six Sigma)
