We are looking for a Bilingual Executive Assistant to work closely with our leadership team to streamline operations and improve efficiency as we grow. This role is critical to ensuring our team is supported in both strategic and administrative capacities. Location: Mexico City, hybrid (in this role, you will work with the team both in person, while also having the flexibility to work remotely for part of the week. The specific in-office schedule may vary week to week.)
Calendar & Schedule Management: Schedule and coordinate meetings across time zones, ensuring no conflicts.
Administrative Tasks: Process expense reports and invoices, organize documents, and maintain company databases. Keep leaders and team organized.
Meeting Preparation: Prepare agendas, take detailed notes, assist in creating presentations and other meeting materials, and track action items for follow-ups.
Project Support: Assist with research, presentations, and managing special projects to support company goals.
Travel Coordination: Organize domestic and international travel plans, including flights, accommodations, and itineraries.
Communication: Act as a liaison for internal and external communications, drafting and translating materials in English and Spanish.
Team Engagement: Support cultural initiatives by organizing team offsites, events, and activities.
Language Skills: Fluency in Spanish, and excellent English communication skills, both written and verbal.
Experience: 3+ years as an executive assistant, with prior experience in fast-paced environments; startup or tech industry experience is a plus.
Technical Proficiency: Familiarity with tools like Google Workspace, Slack, and Notion, with the ability to learn new systems quickly.
Detail-Oriented: Exceptionally organized with the ability to manage multiple priorities under tight deadlines, with excellent attention to detail.
Interpersonal Skills: Excellent communicator with the ability to maintain professionalism in high-pressure situations. You are able to anticipate and respond to the needs of others before they arise.
Adaptability: Must thrive in a fast-paced environment, learn quickly, and operate with a sense of urgency, with the ability to take initiative and ownership over sometimes ambiguous tasks autonomously.
