Summary

Under general supervision, is responsible for the daily clerical, and operational performance, records management, and library services of the Bexar County Archives and Museum.

Duties and Responsibilities

  • Develops policies and procedures for the department administration, library, reading room and museum to ensure staff, county employees and the general public adhere to all required security and safety directives
  • Requests and maintains supplies/fixed assets; in-house budget expenditures for monthly/quarterly reports; and assist with budget preparations
  • Responsible for evaluating and maintaining the historical records, articles, new/existing collections and general programs at the Bexar County Archives, organizing, inventorying, cataloging and physical arrangement, and stays abreast of library and archive tends
  • Provides direct service to the public with research efforts, referrals, and information as requested, organizes library materials in order to provide efficient and convenient access
  • Supervises, trains, evaluates, sets schedules, provides work assignments, and monitors time/attendance for interns and volunteers
  • Responsible for the physical arrangement and display of library and archive items; maintains the museum/gallery/exhibit space for educational visits, research and tours, oversees library/museum events
  • Responsible for opening and closing gallery at designated hours and greeting visitors
  • Coordinate and assist county offices, departments and organizations with historical displays and collections
  • Responsible for answering questions regarding department or work, creating and designing informative literature for various media platform outlets, social media ads and email blasts about displays, events and tours to promote the use of the Bexar County Archives and Museum by the community
  • Performs related duties as required

Minimum Qualifications

  • Bachelor’s Degree in Archival Study, Museum Study, Library Science, History, Public Administration, or a closely related field, and one (1) year archival experience including two (2) years museum administration experience; or an equivalent combination of education and experience
  • Knowledge of fundamental library principles, methods, materials, and practices
  • Ability to communicate effectively with diverse groups of individuals utilizing tact and diplomacy; ability to make presentations, ability to establish and maintain effective working relationships with county employees, other government agencies, outside organizations, Department Heads, Elected/Appointed Officials, and the general public
  • Skill in supervising individuals; skill in communicating effectively, both verbally and in writing; skill in communicating effectively with diverse groups of individuals utilizing tact and diplomacy; skill in performing statistical analysis; skill in historical research
  • Ability to operate personal computer, typewriter, 10-key adding machine and basic office equipment; knowledge of budget preparation; skill in marketing platforms, social media and email blast
  • Acts in the name of the County Clerk and shall perform all official acts as may be lawfully done and performed by such Clerk in person, pursuant to Section 82.005(c) of the Texas Local Government Code
  • Must secure and maintain a favorable background investigation and clearance
  • Must clear a pre-employment physical and a pre-employment drug screen test
  • Must have a valid driver’s license
  • May be required to work more than 40 hours during the workweek


Working Environment and Physical Demands:

  • Constantly working in indoor conditions
  • Occasionally moves items weighing up to 40 pounds
  • Frequently moves about the office
  • Frequently communicates with others; must be able to exchange accurate information
  • Visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment
  • Subject to sitting, standing, walking, reaching, twisting, and handling to perform essential task
