Library Acquisitions Associate

What You'll Do:

1. Library Acquisitions

  • Research, place, and verify orders for library materials in all formats.
  • Create and update detailed order information in the library management system.
  • Respond to order inquiries from library staff about open library materials orders.
  • Resolve invoice, payment and delivery problems through communication with vendors, the College Business Office and others.
  • Evaluate damaged, lost and missing materials to make decisions on replacement, repair or withdrawal from the collection.
  • Receive and process invoices for incoming physical library materials.
  • Ensure that incoming materials are routed to their appropriate destinations.


2. Student Supervision

  • Hire, train, organize, and supervise appropriate tasks for student workers in acquisitions, receiving, copy cataloging, processing and other Acquisitions & Resource Management work as assigned.
  • Organize and maintain the student work schedule. Approve student time cards.


3. General Office Responsibilities

  • General data entry as assigned.
  • Monitor and track IT asset movements and requests.
  • Participate on Library and Bridge teams/working groups as assigned.
  • Attend all relevant Library and Bridge meetings and functions scheduled during regular working hours.
  • Work collaboratively and in tandem with peers at Carleton College to ensure that work is not duplicated and that costs are contained or reduced.
  • Serve as a backup to other staff as needed and as requested by the supervisor.

Who You Are:

  • Associate’s degree or equivalent work experience; maintain a valid driver’s license and meet St. Olaf College driver authorization criteria with a satisfactory driving record
  • 1+ years experience receiving and paying invoices, dealing with vendors, and managing financial information in a complex accounting system; proficiency with MS Excel
  • Bachelor’s degree preferred, but not required
  • Experience working in a library, academic setting, as a paralegal or other highly relevant environment; experience using a library management system for acquisitions; experience supervising student workers or others preferred, but not required

Pay Rate: This role pays $21 per hour.
