Job Overview
We’re seeking a highly organized, detail-oriented, and proactive Sr. Operations Manager to join our team. This critical role ensures that all operational processes run smoothly, from freelancer contracting and onboarding to financial oversight and internal event planning. Key Responsibilities:
Freelancer Contracting:
- Collaborate with department leads to define the scope of freelancer contracts, ensuring alignment with project needs, budgets, and company hiring policy.
- Issue offers, submit contract details in Salesforce, and coordinate with the Contingent Workforce Team to finalize paperwork swiftly.
- Manage complex contracts that span multiple program budgets, ensuring accurate tracking and processing.
- Provide freelancers with critical resources, such as credit card setup instructions, timesheet guidance, and next steps for the contracting process.
Invoice Management:
- Process all freelancer invoices through the Intacct platform.
- Ensure invoices are accurately split across project budgets where applicable.
Team Support:
- Serve as the team’s go-to resource for operational questions, offering guidance on processes, policies, and workflows.
- Regularly communicate important updates, reminders, and announcements to freelancers and full-time employees.
- Host Operations Hours to provide dedicated support for freelancers and full-time employees.
- Support project teams on an as-needed basis.
New Hire Support:
- Lead a comprehensive 6-part onboarding process for all new hires, covering project organization, roles and responsibilities, workflows, budgeting, and project close-out processes.
- Continuously update onboarding materials to reflect new policies, tools, and best practices.
Budget Oversight:
- Conduct project budget checks at key milestones, ensuring templates and formulas are working properly and financial tracking aligns with overall project goals.
- Flag potential risks or discrepancies and work with budget managers to resolve issues.
Internal Projects:
- Lead the planning and onsite execution of the company’s annual team offsite event, including location research, vendor management, venue coordination, budget management, and project team oversight.
- Support on internal projects as assigned.
Process Development:
- Partner with the Director of Operations and Operations team to refine processes and align policies with company goals.
- Identify gaps in current processes and recommend solutions to address them proactively.
Skills and Qualifications:
- Demonstrates a forward-thinking mindset by anticipating needs and potential challenges and is proactive in troubleshooting and coming to the table with solutions.
- Responds effectively to changing priorities, remaining calm under pressure, and keeping tasks on track with minimal oversight.
- Precision in handling contracts, budgets, and invoices with a strong eye for financial accuracy.
- Communicates effectively with diverse stakeholders, tailoring information and maintaining open dialogue to keep all parties informed and concerns addressed.
- Combines creative thinking with a pragmatic approach to troubleshoot operational challenges.
- A team player who cultivates strong relationships across cross-functional teams, freelancers, and leadership by promoting collaboration and providing continued support to the team.
What You Should Have:
- 6+ years in operations or project management, preferably within the live or experiential event industry.
- Understanding of production and the event planning process—with hands-on experience planning and executing internal events, including budget and vendor management, is preferred.
- Advanced proficiency in Google Sheets and proven ability to create and troubleshoot complex, user-friendly templates.
- Experience with Salesforce, Intacct, or similar platforms for contracting and financial management.
- Demonstrated ability to manage intricate processes without errors, with strong organizational skills.
- A problem-solving mindset and ability to thrive in a fast-paced, ever-changing environment.
- A passion for process with an ability to think critically, propose solutions, and take ownership of challenges.

How We’ll Take Care Of You
Our job titles may span more than one career level. The starting salary for this role is between $85,000 and $100,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as: training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.
