The role also provides secondary support to the Chief of Staff for company-wide initiatives and special projects in collaboration with various staff and departments on an as needed basis.Key ResponsibilitiesActing as the main point of contact with other company leadership, employees, clients and external partners and managing the information flow in a timely and appropriate mannerManaging calendar, e-mails, calls and voicemails for or more senior company leadersArranging meetings with both internal and external attendees, including booking meeting rooms / venues / and managing logistics in domestic and international locationsMaking complex travel and accommodation arrangements in domestic and global locationsOrganizing daily / weekly department expenses and prepare monthly expense reports and submissionsLearning company systems to be able to teach and inform others on teamActing as the point of contact for requests from staffReviewing requests for prioritization with executive partnerPreparing and updating materials for meetings, presentations and departmental communicationsManaging all department related paper and electronic files and documentationIndependently resolving issues with limited guidance or directionSupporting internal projects including decision making within clearly defined framework of departmental guidelines and practicesPreparing and managing complex projects, documentation and correspondence including collecting, organizing, and analyzing dataQualifications5+ years of experience supporting a C-suite level executive (with global responsibilities a plus)College degree preferredStrong professional-level verbal and written communication skillsDemonstrated proficiency in managing projects with multiple deliverables and varied timingAbility to meet deadlines in a fast-paced rapidly changing environmentProactively able to identify and solve problems independentlyExcellent organizational and time management skills with the proven ability to prioritize and handle multiple tasksDemonstrated proficiency with MS Office suiteA fast learner with initiative, purpose driven and results oriented attitude, capable of working unsupervisedHighly organized, detail oriented, adaptable and quick-thinking with a confident, proactive, and professional demeanorAbility to maintain the highest degree of confidentialityCompetence in establishing and maintaining strong cross-departmental relationshipsNextiva Core Competencies / DNA:Drives Results:The successful candidate will be action oriented, with a passion for solving problems. They will embrace a culture of service and learning with a focus oncaring , supporting and respecting our customers and team members.Compensation, Rewards & Benefits:The salary or hourly wage offered by Nextiva to external candidates considers a wide range of factors, including but not limited to skills sets, experience, training, licensure and certifications, etc. Our compensation decisions are dependent on the facts and circumstances of each case. Our estimate of the expected hiring range for the position as posted is $X - $Y.
