About the role

In this role, you will play a crucial role in supporting the overall people operations function within Nirvana. You will be responsible for assisting with various HR and administrative tasks to ensure smooth and efficient operations. Your primary focus will be on improving and standardizing people processes, providing exceptional support to our employees, maintaining accurate employee records and documentation, as well as coordinating engagement initiatives and improving overall employee experience. This is a great opportunity to learn and grow in an HR role partnering with leaders throughout the company. The right person will be willing to roll up their sleeves and proactively handle all tasks, both big and small!

What you’ll do:

HR Admin, Benefits and Compliance:

  • Deliver day-to-day HR operational support; assisting with general employee inquiries, onboarding, offboarding, engagement, benefits, and more.

  • Oversee and manage office operations for our SF & NYC coworking spaces; ensure snacks, beverages, and supplies are regularly stocked, manage weekly lunch delivery programs, support a welcoming experience for interview candidates or guests visiting the office, manage lease contracts, and continuously look for ways to improve the overall vibe.

  • Maintain and operate daily in our HR Systems (Justworks, Deel, Coda, Lattice and more) including data entry, status changes, updates to documentation, reporting, and periodic audits. Support leave of absence tracking and required documentation.

  • Assist in the development and implementation of HR policies, SOPs, and programs; ensuring compliance with applicable labor laws and regulations when necessary.

  • Establish and ensure compliance calendar is up to date with all relevant reporting events and completion statuses, leveraging internal and external partners along the way.

  • Partner with the People Team, including our Global team members, to innovate, improve, align, and drive the efficiency of our HR workflows.

Employee Onboarding, Engagement and Relations:

  • Facilitate a smooth, positive, and engaging onboarding experience for new hires. Partner with internal stakeholders, manage communications, support hiring managers, schedule logistics, and serve as the main point of contact for our US + Chile-based new hires.

  • Serve as a resource and advocate for employees and managers, providing guidance on benefits, time-off, people programs, etc, while fostering a respectful and inclusive work environment and managing sensitive matters with confidentiality.

  • Evangelize our core values and reinforce our culture by launching engagement initiatives that are inclusive of our in-office and remote employees. Identify and coordinate meaningful celebratory events, recognition programs and benefit offerings..

  • Support DEI initiatives and ERG Leads with their programming; manage quarterly events calendar, coordinate logistics and communications to bring awareness to our work.

  • Partner with our Events Marketing team on company-wide offsites; including identifying destinations, agenda planning, expense management, coordination of team-building activities and more.

Other skills that will enable you to thrive in this role:

  • Project Management: help develop project plans, define deliverables, set timelines, and ensure successful project completion, while managing multiple stakeholders. You will support various ad hoc projects such as performance management cycles, survey launches, recognition programs, open enrollment, and more. 

  • Continuous Improvement: proactively identify gaps and capture learnings from existing frameworks so that we’re continuously improving and evolving our processes, benefits, programs, and People Ops department as we seek to build a best in class employee experience.

About you:

  • 3-5 years working in an HR role, preferably at a startup or other fast-paced environment

  • Experience working within People systems; HRIS, performance management, payroll, employment verification systems, leave of absence vendors, etc is a plus.

  • Some knowledge of HR laws and compliance

  • Passionate, empathetic and positive approach when working with people related information, especially confidential matters

  • Resourceful and thoughtful about how to leverage the support around you to get things done, while also bringing new ideas to the table

  • Strong ability to take initiative, prioritize, and demonstrate flexibility in a dynamic environment

  • Ability to be in our San Francisco office at least 3 days per week
