Opportunities for remote work arerare.Job DescriptionThe Operations Assistant Manager for the Associated Students ofNorthern Arizona University (ASNAU) performs varied advancedadministrative work unique to ASNAU requiring initiative andindependent judgment. The Operations Assistant Manager worksindependently and is specifically accountable to the ASNAUExecutive Officers who establish the day-to-day priorities, whileunder general direction of Director of the Office of Leadership andEngagement. The Operations Assistant Manager is responsible for allfiscal, contract, procurement, travel, time management and otherprocesses requiring action by a full-time employee. The OperationsAssistant Manager also assists ASNAU Officers and Staff Memberswith official records and recommending of administrative policiesand procedures. The Operations Assistant Manager will manageproblems and non-routine situations by determining the approach oraction to take and interprets guidelines, procedures, policies, andpractices. The Operations Assistant Manager may have contact withhigh-level administrative offices and elected or appointed stateofficials, alumni or parents, requiring professionalism, strongcommunication skills, discretion, and strong judgment.Student Support - 55%• Participates in planning, coordinating, and prioritized workactivities for ASNAU front desk staff, and student staff.• Works with Human Resources and Career Development on the hiringprocess, job descriptions, and communications with ASNAUstaff.• Creates and maintain current job descriptions, while supportingthe hiring process of student employees.• Assists with the development and implementation of plans toresolve problems and enhance services.• Advisor of New Student Government and Thrift Jacks and aids intheir programming and event planning.• Works with front desk staff to provide a welcomingenvironment.• Ensures adherence to established university and departmentalpolicies and procedures, and objectives.• Successfully coordinates projects, as directed.• Evaluates higher-level processes and workflow, identifiesinefficiencies, and works with management to developsolutions.• Provides administrative/secretarial support for the departmentsuch as answering telephones, assisting visitors, responding togeneric inbox inquiries, and resolving and/or referring a range ofadministrative problems and inquiries.• Establishes, maintains, and updates files, databases, records,and/or other documents; develops and maintains data, and performsroutine analyses and calculations in the processing of data forrecurring internal reports.• Provides input and recommendations for improving officeprocesses and provide student leaders and supervisor with ongoingfeedback regarding student, parent and employee requests, issuesand concerns.• Updates the ASNAU website using WordPress and/orGutenberg.Budget/Finances - 30%• Manages individual & club funding processes, includingworking with the NAU Service Teams on payments, communications,receipt collections, etc.• Maintains unit documents such as personnel records, budget dataand financial records.• Monitors and tracks ASNAU revenues and expenditures againstannual budget of nearly $1 million and share regular updates withASNAU organizational leaders and co-advisors.• Maintains and reconciles budgets for ASNAU and performs simpleanalysis on accounts; authorizes payments within prescribed limits;makes recommendations for purchases. Works under the guidance ofStudent Affairs Financial Oversight team.• Manages all purchases made for ASNAU operations, includingevents, food, supplies, travel, and more.• Manages purchasing card purchases and reconciliations, andother personnel documents and functions as needed.• Leads facilitation of the Student Organization Room ReservationFund.Election Commission - 10%• Leads efforts with the NAU Votes Coalition, includingrecruiting, communications, facilitating meetings, and reporting onefforts.• Plans events in collaboration with the coalition.• Identifies opportunities to inform students of their votingrights and helps register students to vote.• Maintains website for NAU Votes Coalition.Other - 5%• Performs other duties as assigned.Minimum Qualifications• High school degree.• 1-2 years of relevant experience.• Any combination of relevant education and experience may besubstituted for the educational requirement on a year-for-yearbasis.Preferred Qualifications• Bachelor's degree in relevant field.• 1-2 years of management or supervisory experience.• Experience with budgeting and process improvement.Knowledge, Skills, & AbilitiesKnowledge• Knowledge of primary factors that impact student retention andcommon strategies used to increase student success.• Knowledge of student development theory.• Knowledge of supervisory practices and principles.• Knowledge of standard office policies and procedures.• Knowledge of supplies, equipment, and/or services ordering andinventory control.• Knowledge of basic accounting/budgeting procedures.• Knowledge of principles and procedures of the assigned workunit.• Knowledge of hiring procedures.Skills• Effective organizational and training skills.• Program development and execution.• Coordination of activities, evaluating data and establishingpriorities.• Develops and maintains good working relationships.• Records maintenance.• Skill in the use of personal computer/software including Excel,Word, PowerPoint, Outlook, Enterprise Reporting, LOUIE and otherdatabases and on-line tools.• Operates a variety of office machines including personalcomputers, telephones and copiers.Abilities• Provides excellent customer service.• Balances competing priorities.• Ability to problem solve and make decisions.• Detail-oriented, able to maintain confidentiality, dependableand tactful.• The ability to work effectively with people from a variety ofculturally diverse backgrounds.• Exercises good judgment and professionalism in a fast-pacedsetting, while working independently.Background InformationNorthern Arizona University requires satisfactory results for thefollowing: a criminal background investigation, an employmenthistory verification and a degree verification (in some cases)prior to employment. You may also be required to complete afingerprint background check. Additionally, as an employer in thestate of Arizona, NAU is required to participate in the federalE-Verify program that assists employers with verifying newemployees' right to work in the United States. Finally, each yearNorthern Arizona University releases an Annual Security Report. The report is a resultof a federal law known as the Clery Act. The report includes Cleryreportable crime statistics for the three most recent completedcalendar years and discloses procedures, practices and programs NAUuses to keep students and employees safe including how to reportcrimes or other emergencies occurring on campus. In addition, theFire Safety Report is combined with the AnnualSecurity Report for the NAU Flagstaff Mountain Campus as thiscampus has on-campus student housing. This report discloses firesafety policies and procedures related to on-campus student housingand statistics for fires that occurred in those facilities. Annual salarycommensurate with candidate's qualifications and relatedexperience.FLSA StatusThis position is exempt from the overtime provisions of the FairLabor Standards Act (FLSA) and therefore will not earn overtime orcompensatory time for additional time worked.BenefitsThis is a Classified Staff (CLS) position.
