Position Overview
The Division of Family and Community Services is seeking to hire an Office Associate to perform a variety of complex, specialized clerical duties for supervisory staff for the Northern Office. This position keyboards a wide variety of complex memos, reports and correspondence involving medical, technical, and legal terminology. Prepares and maintains complex, highly specialized records and reports. Receives telephone calls, determines the nature of the call, directs callers to appropriate staff. Maintains and organizes client appeal files, records, and reports documents pertinent to hearing. Provides clerical office support. Receives and distributes mail, manual releases, and memos. Translates functions/procedures into Spanish for individuals who cannot speak or read English, in contacts with the general public, advocacy groups, customers and community organizations.
Job Responsibilities
1. Keyboards a wide variety of complex memos, reports and correspondence involving medical, technical, and legal terminology.
2. Prepares and maintains complex, highly specialized records and reports.
3. Receives telephone calls, determines the nature of the call, directs callers to appropriate staff.
4. Translates functions/procedures into Spanish for individuals who cannot speak or read English, in contacts with the general public, advocacy groups, customers and community organizations.
5. Maintains and organizes client appeal files, records, and reports documents pertinent to hearing.
6. Provides clerical office support.
7. Receives and distributes mail, manual releases, and memos.
8. Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
1. Requires knowledge, skill, and mental development equivalent to completion of high school.
2. Requires two (2) years of related office experience.
3. Requires ability to keyboard accurately at a rate of 45 words per minute.
4. Requires ability to speak, read and write Spanish at a colloquial skill level.
