The Office Assistant III position directly supports the Director of the M.S. in Higher Education Administration program and the Director of the Ed.D. in Educational Leadership program and their respective faculty.
DUTIES AND RESPONSIBILITIES:
Assists the Program Directors with all program matters providing organizational and clerical support.
Tracks all program inquiries, leads and applicants.
Communicates with applicants in SLATE (our admissions tool for enrollment management) the program features via email and phone, maintains accurate records, follows up on any missing materials including the graduate deposit, and create applicant files.
Assists students in all matters including registration and graduation application. Serves as an advisor to students, explaining university policies and procedures, completing university forms, tracking academic progress and student course selection.
Prepares a plan for students to complete full degree and the certification only programs.
Manages course schedule (liaise with Director to project registration numbers and plan course offerings each semester).
Understands and enters data in Duquesne’s system for tracking student learning outcomes, the WEAVE-Online assessment software.
Reviews and updates course schedules each term, understanding the cycle of courses offered and adjunct needs. Contacts adjuncts for availability.
Updates the list serve site with new graduates’ emails.
Reviews with Program Directors and revises Program Resource Manual yearly.
Completes all dissertation paperwork, schedules the defense, sends email announcements, and notifies our doctoral students of the Gumberg Library deadlines.
Orders all catering and plan program events.
Participates in program meetings, record minutes and follow up on action items.
Manages procurement card and related purchases.
Coordinates and executes yearly marketing strategies.
Completes other duties as assigned.
REQUIREMENTS:
Minimum qualifications:
The successful candidate will have earned a high school diploma or equivalent.
Preferred qualifications:
Associate’s Degree in a related field from an accredited institution.
5 years of experience preferred.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Demonstrates outstanding organizational and interpersonal skills;
Possesses experience using Microsoft Word, Excel, PowerPoint, Adobe, and other software packages;

Demonstrates excellent rapport and professionalism with people;
Has a professional, public-facing commitment to customer service and to the educational development of students;
