Position Summary

Position Summary

The UNM Gallup Nursing Department is seeking to fill a work study position for the Fall 2023/Spring 2024 semester. This individual must be able to work well under pressure, adhere to FERPA and confidentiality requirements and follow federal/state regulations. Nursing Office Assistant will greet all individuals seeking advisement to the nursing program, CNA program, and all other visitors to the nursing program. Other duties may include simple clerical duties such as but not limited to filing, sorting forms and records, providing general office information to staff, students, and faculty, checking mail, log incoming and outgoing mail as needed. Must have computer, telephone, and customer service skills. Will run department errands as needed, will be working with confidential information and records

Duties and Responsibilities

  • Welcomes and greets visitors, students, parents in person or on the phone; directs visitors, students, and parents to appropriate department or sites; attracts potential students by answering inquiries regarding the nursing program, and basic advisement questions.
  • Responsible for retrieving and delivering mail, faxing documents/forms, answering phone calls, screen phone calls, transfer phone calls to appropriate staff/departments, assisting students and/or parents with completion of online forms, reviewing basic advisement information with students, filing, labeling, preparation of packets for outreach events, maintain daily sign in sheets at front counter
  • Cleaning and disinfecting front office lobby, front desk area, and computer lab.
  • Responsible for preparing folders/files for scanning and/or printing. Establish, maintain, process, and/or update file documents for scanning and archiving.
  • Perform a variety of data entry assignments and understand the organization of data in order to provide basic information.
  • Other duties as assigned.

  • Must be work-study eligible
  • Must be enrolled at least half time

Preferred Qualifications:

  • Ability to maintain confidentiality of records and information.
  • Demonstrated friendly, professional, and helpful demeanor at all times.
  • Experience working with diverse groups of people.
  • Very strong communication skills, both verbal and written.
  • Ability to work effectively as a member of a team.
  • Excellent problem-solving skills and strong attention to detail.
  • Basic computer skills, MS Office
  • Ability to learn Banner
  • Skill in organizing and coordinating
  • Skill in the use and operation of basic office equipment
  • Availability to work up to 5 pm as our hours of operation are M-F 8 am-5 pm
  • Work experience is highly preferred

Working Conditions and Physical Effort

  • Moderate physical activity. Requires handling of average-weight objects, standing and/or walking for extended periods of times during rush and busy hours of the semester.
  • No or very limited exposure to physical risk.
  • Work is normally performed in a typical interior/office work environment.
