JOB TITLE:
Office Associate
JOB PURPOSE:
Perform advanced office and administrative/management support tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Office Management:
Under limited supervision manage overall function of UWPC office
CONFIDENTIALITY IS AN ESSENTIAL PART OF THE POSITION (Client's attendance and participation in mental health services is private and cannot be shared outside of UWPC).
Monitor all systems in terms of confidentiality and efficiency
Train graduate student clinicians regarding office policies and procedures
Evaluate office procedures and assist with creating effective systems
Monitor and manage clinical resource library
Monitor and order office supplies, assessment, and therapy materials
Attend clinic administration meetings with UWPC Director and Graduate Assistants
Schedule appointments for clients
Manage the appointment schedule for multiple clinicians
Help UWPC Director with marketing and advertising efforts on campus an in community
Fiscal Management:
Perform basic bookkeeping duties to properly account for and deposit clinic payments (cash, check, debit/credit card)
Work with Clinic Director to resolve account/billing issues
Administrative Assistant to Director and Faculty Supervisors:
Assist with scheduling needs, arranging events, meetings, and travel
Proofread, edit, and format various documents
Update campus and community resources and office procedures
Assist in evaluating various departmental policies and procedures
Coordinate special projects with director as needed
Attend certain committees as UWPC representative
Technology Support:
Create, maintain, update, and evaluate office databases
Create, monitor, and maintain UWPC web page
Stay current of computer technology, hardware, and software within department and suggest adjustments and upgrades as appropriate
Serve as administrator for passwords and permissions for UWPC technology
Troubleshoot and work with UW Information Technology
Arrange and maintain electronic client paperwork
Set up, maintain, update and seek assistance from vendors in the use of Intelligent Video Solutions (on-network video system), Titanium (electronic medical record system), and routine outcome monitoring system (to be purchased).

REMOTE WORK ELIGIBILITY:
This position provides vital support to campus customers and requires the successful candidate be available to work on campus.
MINIMUM QUALIFICATIONS:
Education:
High School Diploma or GED
Experience:
2 years progressively responsible work-related experience
Required licensure, certification, registration or other requirements:
None
DESIRED QUALIFICATIONS:
Associates or bachelor’s degree
Experience and familiarity working in settings with confidentiality and privacy requirements
Experience in answering phones and talking to clients in a mental health setting
Experience with both paper and electronic records management
Ability to work independently (including problem solving and independent judgment)
Demonstration of commitment to teamwork, including ability to manage disagreements and communicate well during problem solving
