Title:

Duties Include:

• Onboarding Employees, coordination of their Orientation
• Coordination of Office Facilities supplied by fabrication contractor
• Managing anything to do with the office space; including seating charts, computers, printers, stationary, all supplies in the break room, safety/HSE equipment and notifying/following up with contractor of anything we need.
• You will be the manager of all storage cabinets and the keys to access the office complex and the individual offices.
• Manage Wifi Access, and troubleshoot it with our IT based in Houston if problems occur. General Coordination with Houston IT
• Being the direct line of communication with the fabrication yards administrative team
• Booking meeting rooms, coordinate team building events/committee, assist in the execution of expense reports.
• Being the direct line of communication of Houston administration and HR in Houston.
• Position may include assisting with administrative support of HSE and QA/QC group at times.
• Performing Minutes of Meetings, and updating weekly agendas.
• Timesheet support/ administration.
• Support HSE culture established by the project.
• There will be some administrative documents that you will be the owner of. Such as contact lists, org charts, general email distribution lists, general project email updates to our team.
• Assistance to help coordinate team building events, sometimes outside of work – maybe a couple times a year.
• Having an Amex Card, buying miscellaneous office items, and expensing them.
• The project has their own document management team – but there may be a time when you need to pull a document from our document management system for a team member. The system is called documentum.
