Office Manager

Position Summary
Responsible for a variety of administrative and financial matters to support the Office of Research Integrity & Office of Sponsored Projects. Creates and implements plans, processes and procedures to ensure the effective and efficient function of the unit to support the success of research administration.

The ideal candidate has excellent tact, time management, and organization skills. Success in this position requires a proactive, service-oriented, and highly professional individual.

This position offers a flexible work schedule (minimum of 2 days in the office per week).

Requirements

  • Bachelor’s Degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
  • Three years of related experience in administrative support, business operations, and/ or project management
  • Proficient computer literacy

Skills Required

  • Excellent interpersonal, verbal, and written communication skills while maintaining confidentiality
  • Strong knowledge of processes required to support efficient administrative workflow
  • Ability to establish and manage priorities and simultaneously handle numerous time-sensitive projects with conflicting and varied deadlines
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tact
  • Demonstrated creativity, problem solving, critical analysis, initiative, judgment and decision-making skills
  • Demonstrated ability to identify and implement business process improvements
  • Excellent planning and organizational skills

Essential Functions

  • Leads business operations for units within the Office of Research Integrity & Office of Sponsored Projects that may have complex technical challenges requiring subject matter expertise
  • Manages unit budgets, human resources, and facilities functions
  • Organizes, manages, and completes special projects
  • Assists staff with programmatic needs during periods of high volume
  • Evaluates programs, policies and procedures
  • Identifies issues, and develops alternative solutions which may include changes to programs, policies and procedures
  • Reviews and analyzes trends to advise and develop recommendations to achieve or modify the goals of the department, program, or function
  • Develops and implements outreach strategies that may include relationship development, communications, and compliance across university divisions
  • Assesses training needs and initiates training for improved proficiency
  • Performs all other duties as assigned

Additional Functions

  • Supports research compliance administration functions, including records management, communications, information triage, and limited project coordination
  • Supports team members in completing research administrative functions during periods of high volume

Preferences

  • Three years of administrative management in a higher education setting
  • Experience with research administration or research project management
