This role is required to be onsite daily at our Boston office by 8:30am daily, with flexible work from home hours in the afternoons.
About the Role:
Reporting to our Senior Director of People Solutions and directly supporting our Chief People Officer, the Boston Office Manager is an exciting role with dual responsibilities including office and administrative management for the Global HR team! This role is a combination of an office manager and executive assistant, being the face of our Global Headquarters.
This multifaceted role will be responsible for helping to ensure we are enhancing the employee experience and bringing to life Bullhorn’s mission statement for our employees, both in person and virtually!
Bullhorn's Office Manager is the face of our organization within Boston and will be tasked with managing an organized and well running office space for our employees, executives and clients and taking the lead on planning and organizing our regular social events and parties. In addition to responsibilities within the employee experience team, you will support our Chief People Officer administratively with calendaring, travel, planning offsites, and expense management.
This is a very hands-on role that will be perfect for someone who likes to be busy, has an eye for detail, cares deeply about the “customer” experience and is a proactive self-starter.

Working with the landlord, vendors, purchasing office supplies, filing, & managing budgets for our Boston office as well as taking lead on the relationship with our building management & responsible for managing building/office access

Greeting guests as they enter the office, answering phone calls, setting up meetings and travel & taking responsibility for in office employee health & safety

Planning office parties, happy hours, and lunch events and supporting the coordination of regional events as well as organizing engagement activities for the remote population globally

Managing the ordering and shipping of swag to our employees, as well as our company swag store & managing inventory, shipping, receiving, and packing

Ensuring refreshments, coffee, and snacks are stocked and fresh along with light cleaning of common areas

Providing Team Leader support for the team of office managers globally

Supporting the Chief People Officer (CPO) with calendar management, coordination and meeting logistics, travel arrangements both international and domestic and expense management and reporting through our internal system, Concur

Collaborating across functions, especially amongst the other assistants, executives and HR Team to help drive initiatives forward

You have 2-3 years of administrative experience supporting an executive

You have 1 - 2 years of experience managing an office environment

You’re a self starter, great communicator with a can do attitude, no task is too small

You have a strong proficiency of Google Suite, Slack, and Zoom

You’re able to organize, prioritize and multitask utilizing effective time management skills

You’re comfortable in an environment that moves quickly and changes frequently
