Role Summary:

Rapid Response Monitoring is seeking a professional, enthusiastic and dedicated Corporate Receptionist who has a pleasant and welcoming demeanor when communicating with potential customers, clients, and candidates both in person and over the telephone. Strong organization and administrative skills are also a must!

Location:

This position is 100% in-office and reports to our facility on site in Syracuse, NY.

Salary Range:

$22.00/hr - $24.00/hr

Responsibilities include:

  • Welcomes and registers all company visitors with a level of utmost professionalism, functions as the company’s initial point of contact for visitors.
  • Answers inbound telephone calls from customers and re-directs/transfers those incoming calls to the appropriate point of contact or department within the company.
  • Takes messages or relays calls to Sales & Marketing and other Department staff, including the President, Executives and Directors.
  • Performs research of Dealer accounts and contact information in ACT! Database as needed.
  • Records incoming dealer and vendor phone calls by documenting in ACT! history
  • Performs special individual assignments or projects as designated by the Supervisor of Inside Sales and Director of Sales, including but not limited to conducting Marketing Research to identify Sales leads, and assisting with the updating information in ACT! database.
  • Compiles, coordinates, and ships various information and media/marketing packages to current customers & prospective customers as required
  • Makes cold calls, event calls and notification calls as designated by the Supervisor of Inside Sales and Director of Sales.
  • Supports the inside and outside sales team with administrative tasks that are requested through the sales request email string. Including but not limited to preparing dealer price change forms, processing orders, creating complete on boarding packages and documents needed to place a customer online with RRMS.
  • Manages inventory on sales brochures, business cards, promo items and sales materials in stock room.
  • Operates office equipment such as telephone and computer systems, fax/copier, and mailing machine.
  • Assists with the training of new employees, including Front Office Coordinators and Sales & Marketing Interns.
  • Receives and distributes UPS/Fed-Ex and other vendor packages to correct company personnel or department.
  • Assists Human Resources Department by issuing and entering initial paperwork for applicants during interviews, printing reports, and scheduling pre-employment screening.
  • Issues Parking Permits to RRMS employees and maintains database of permit records and parking violations.
  • Setting up conference rooms for weekly Sales & Marketing department meetings as well as for meetings with clients, potential clients and other visitors.

Qualifications:

  • 2-3 years of experience involving duties of a related nature required.
  • High School graduate with a minimum two (2) year Associates Degree, or two (2) years of completed college while currently enrolled.
  • Previous customer service or administrative experience is preferred.
  • Requires strong interpersonal skills, flexibility, and professionalism at all times.
  • In-depth knowledge of Microsoft Office platforms with the ability to adequately operate a computer/word processing equipment and all other general office equipment. Microsoft Excel experience is a plus.
  • Must be able to fluently communicate in English with a working knowledge of grammar and spelling.
  • Filing experience and the understanding/ability to maintain practices of high-level confidentiality a must.
  • Experience operating a telephone system including making/answering phone calls is a plus.
  • Successful post-offer drug screen
