What You'll Do
- Coordinate and schedule appointments, meetings, and conference calls, and maintain calendars for advisors or team members
- Work closely with marketing director to book events and manage vendors
- Prepare meeting agendas and other relevant materials, ensuring accuracy and timeliness, including travel coordination
- Confirm meeting and event attendees for upcoming engagements
- Schedule and coordinate internal meetings along with client meetings on a weekly, monthly, and quarterly basis
- Answer phones in a professional manner, providing answers when possible and transferring calls or taking messages when needed
- Greet clients in office, offer beverages and direct them appropriately
- Serve as a point of contact for internal staff and/or external partners, providing excellent service and addressing inquiries or concerns promptly
- Manage office mail, disperse to the team, and coordinate delivery to clients
- Maintain office including kitchen, workspace organization, ordering supplies and other team needs
- Coordinate with vendors and service providers for maintenance, repairs, and other office-related activities
- Maintain accurate records and databases, ensuring confidentiality and data integrity
- Basic financial tasks, such as processing invoices, expense tracking, and budget monitoring
- Other responsibilities and tasks as assigned
What You'll Bring
- Strong administrative, planning, and organizational skills
- Meets deadlines effectively and proactively anticipates tasks
- Proven experience scheduling, booking, and coordinating meetings and travel arrangements
- Salesforce, Microsoft Office, Adobe experience preferred
- 5+ years of experience working with C-suite executives
- Strong interpersonal skills and the ability to work collaboratively
- Basics IT and technology understanding preferred
