General Position SummaryThe Administrator, Asset Management (AM) is a front office position within the Power Business Unit of Osaka Gas USA (OGUSA), responsible for assisting with the development and maintenance of vendor data for vendor risk verification and document management within the Asset Management team, including Regulatory and Compliance calendar administration. The Administrator will support applications that sustain the day-to-day operations of the Osaka Gas Asset Management Group (OGAM) and the facilities managed by OGAM.Essential Job Functions• Coordinate and maintain a consolidated list of vendors from our Asset Computerized Management System software, Maximo.• Assist with verification of the vendor contact and accounting information for completeness• Assist with the development of vendor verification forms through NAVEX• Respond to vendor inquiries and assist with form completion.• Review the configured new vendor risk verification application for completeness and quality assurance. Report any discrepancies or concerns to the affected team member(s)• Coordinate and manage document management filing (M-Files) within the AM group• Coordinate and manage the Regulatory and Compliance calendar Benchmark-GensuiteAdditional Responsibilities include:• Assist with developing improvements to the document and contract management filing systems, including M-Files and other filing systems that may be developed• Manage the application configuration, implementation, and continued use of the vendor risk platform, NAVEX, at OGAM-managed facilities.• Report any user or operational issues to your supervisor for resolution with the Risk Application provider.• Assist with and provide backup management of the timekeeping system in SageRequirementsEducation• Associate degree in business or equivalent work experienceExperience• 2-3 years of experience in a Procurement department, Power Plant experience is a plus• Accounts Payable experience a plus• Proficient in data entry, analysis, conversion of data into charts and graphs• Proficiency in Maximo and Microsoft Excel, including formatting, pivot tables, charts and formulas• Proficiency with Microsoft Projects a plus• Basic project management experience• Possess analytical, organizational, and reporting skills• Work in a multi-cultural office environmentPhysical• Typical office environment with normal office temperature and noise levels• Job may require extended sitting or standing, use of standard office equipment• Minimal lifting 15 lbsOther Duties:Please note this job description is not designed to cover or contain a comprehensive or exhaustive listing of activities, duties, or responsibilities that are required of the employee for this job.
