A company specializing in ground-up construction and historical renovations for a select group of real estate investors in the Philadelphia area is seeking a Warranty Coordinator to join their team. This dynamic team is committed to delivering exceptional service to homeowners and maintaining long-term relationships through proactive communication and efficient problem resolution.
As a Warranty Coordinator, you will be responsible for managing warranty claims and ensuring seamless communication and service to homeowners. Your duties will involve monitoring warranty communications, entering data into Buildertrend, verifying claims, coordinating dispatch, and facilitating follow-up communication. This role is crucial to maintaining a high level of homeowner satisfaction.
Key Responsibilities:
- Monitor the designated warranty email account for incoming claims.
- Collect necessary information, including homeowner details, issue descriptions, and relevant photos.
- Input collected information into Buildertrend using a standardized template or form for accuracy and consistency.
- Perform preliminary verification of claims based on warranty guidelines.
- Reach out to homeowners via email to request additional details if needed to process claims effectively.
- Notify the field team of dispatched claims through Buildertrend or email.
- Provide all relevant details, including homeowner contact information, issue descriptions, and any deadlines for resolution.
- Schedule follow-up emails to keep homeowners updated on the status of their claims and the expected timeline for field team visits.
- Confirm appointments and set clear homeowner expectations for the warranty process.
- Follow up with homeowners after warranty work is completed to gather feedback on service quality and document responses in Buildertrend.
- Compile regular reports on warranty claims, response times, and homeowner satisfaction, identifying areas for improvement.

- Previous experience in warranty coordination, customer service, or a related field is preferred.
- Proficiency in Buildertrend or similar project management software is an advantage.

- Ability to work independently and coordinate efficiently with field teams.
