Position Overview

You will be responsible for administering multi-state payroll and benefits for multiple employee groups. You will also support daily administrative human resource functions, assist with onboarding new employees and help create a welcoming environment for our growing global diverse teams.

This is a junior position, so the ideal candidate will possess 1-2 years of experience in payroll and benefits, and administrative functions. The ideal candidate is well-organized, pays great attention to detail and is always willing to go above and beyond to maintain and improve a great employee experience and culture for all employees.

Job Responsibilities

  • Prepares and processes multi-state payroll for multiple employee and contractor groups with high accuracy and timeliness.
  • Be the main point of contact for employees regarding payroll and benefits Inquiries
  • Manage multi-state/provincial payroll tax accounts. Stay up to date with local and state tax requirements and update the payroll system as needed.
  • Performs reconciliation and audits the accuracy of company and employee payroll records.
  • Ensure payroll compliance matters and state/government inquiries related to pay and taxes are handled efficiently and timely.
  • Prepare reports to relevant internal teams.
  • Assist with any internal and external audits including but not limited to tax audits, finance audits, 401k audits and workers comp audits.
  • Administer health insurance and retirement benefits/plans, including enrollments, changes and terminations.
  • Ensure yearly benefit forms, such as Form 5500, 401k non-discrimination testing, and ACA compliance, are filed with high accuracy and timeliness
  • Participate in strategic process and benefits enhancements during the benefits cycle process including but not limited to selection of plans and open enrollment process.
  • Prepare and provide benefits communications and education to employees.
  • Work closely with our health brokers and vendors to ensure that benefits are accurate.
  • Provide administrative support to the HR department in areas such as record-keeping, file maintenance, HRIS data entry and immigration applications.
  • Complete Forms I-9 and e-Verify, verify I-9 documentation and files, and audit periodically.
  • Assist with onboarding and offboarding processes, including but not limited to performing background checks, setting up HRIS accounts, and payroll/benefit set-up.
  • Communicate effectively with employees and contractors relating to HR procedures and processes, and answering questions related to payroll and benefits with a dedication to providing the highest level of service and confidentiality.
  • Create and maintain payroll and benefits processes documentation.
  • Additional duties as assigned.

Required Qualifications

  • 1-2 years of experience in multi-state payroll and benefits administration; and administrative functions.
  • Strong knowledge of payroll and benefits standards and employment laws.
  • Strong data accuracy and excellent attention to detail.
  • Experience with auditing payroll and benefits timely and accurately
  • Possess the highest level of confidentiality, integrity, fair-mindedness and ethical conduct at all times.
  • Strong interpersonal and communication skills (ability to build relationships and gain credibility and trust).
  • Strong organizational skills with ability to prioritize work and meet deadlines in a fast-paced working environment.
  • Good judgment and problem-solving skills with the ability to learn new things quickly.
  • Dedicated to improving the employee experience at all stages of the employee life cycle.
  • Deep interest in increasing diversity, equity and inclusion throughout the company
  • Ability to work collaboratively in a remote-working environment.

Preferred Qualifications

  • Certification in payroll/benefits industry a plus.
  • Experience working with Canadian payroll, benefits, or labor laws a plus.
  • Experience with web-based applications and online collaboration tools a plus.
