Payroll Assistant

YOUR NEXT OPPORTUNITY:

As a Payroll Assistant, you'll be responsible for accurately preparing and maintaining payroll for a group of employees and supporting multiple areas of the company with payroll-related inquiries.

WHAT YOU'LL DO:

  • Prioritize and audit time records from various locations, help correct or adjust time records as requested by employees or managers.
  • Calculate and prepare off cycle layoff/termination or supplemental check payments.
  • Ensure accuracy and timely distribution of payroll checks to all office locations.
  • Communicate and respond to employees with garnishments and process off-cycle third party checks as needed.
  • Review and set up per diem payments through payroll.
  • Respond to EDD/PFL audits or W-2 requests.
  • Assist employees and managers with any Kronos access questions and adjust as needed to resolve the issues.
  • Gather time records or reports to back up project cost audits or billings
  • Complete office union deductions report monthly for fringe reconciliation.
  • Assist regional controllers with historical edits of project time allocations missed from prior periods.
  • Index and file payroll documents regularly each pay period.
  • Able to support or backup Senior Payroll Specialist or Payroll Manager.
  • The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the positions role within the business unit .

WHAT YOU BRING TO US:

  • Associate’s degree in Accounting, Finance or Business related field desired
  • Minimum 3 years’ experience in payroll environment required
  • Can be a combination of education, training and relevant experience

WHAT YOU'LL NEED TO BE SUCCESSFUL:

  • Experience with Kronos timekeeping system a plus
  • 10-key, data entry and computer skills are required
  • Proficient in Microsoft Excel, Access and Word
  • Detail orientated and possesses research and analytical talents with the ability to multi-task
  • Be able to work in a high stress environment
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle preferred
  • Ability to prioritize and manage multiple tasks, changing priorities as necessary
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude
  • Effective oral and written communication skills as required for the position
  • Ability to be self-motivated, proactive and an effective team player
  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

WORKING CONDITIONS:

  • General work environment – sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
  • Noise level is usually low to medium
  • Occasional lifting of up to 40 lbs

Pay: $24.25 - $31.85 per hour
