Payroll Manager

Heap is looking for a Payroll Manager. In this role you will Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions. The transactions will include salaries, benefits, garnishments, taxes, and other deductions. You will also ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates. The Payroll Manager at Heap is responsible for recording general ledger activity and reconciliations. The right person for the role is an excellent collaborator and who works very well with other teams in the compensation process including People Operations, Commissions Analyst and the accounting team.

Responsibilities

  • Process domestic semi-monthly payrolls and related taxes accurately and in a timely manner
  • Setting up and managing payroll in new countries, providing inputs to international payroll service providers, reviewing and approving international payrolls
  • Record NSO transactions in ADP
  • Review and remit retirement plan contributions to brokerage account
  • Registering for new states as needed
  • Work closely with People Operations to ensure benefits and perks are processed correctly.
  • Answer employee payroll questions and ensuring timely payment of payroll and related taxes
  • Manage monthly payroll accounting and liaise with external auditors with inquiries.
  • Ensure monthly/quarterly/annual incentive compensation payments are made on a timely basis using gross payroll provided by the commissions analyst and other sources..
  • Post payroll, benefits and perks Journal Entries on NetSuite and complete general ledger reconciliations on a monthly basis in accordance with the close schedule.

30/60/90 Day Plan

Within 30 days, you will:

  • Take on full ownership semi monthly payroll processing for the US entity and booking of payroll entries into NetSuite
  • Gain a nuanced understanding of Accounting/Payroll Team data, systems and processes and suggest some initial improvements

Within 60 days, you will:

  • Taken on full ownership of US payroll, managing UK payroll provider, and commissions processing

Within 90 days, you will:

  • Have established successful partnerships with Accounting, People Ops, Commissions Analyst, and FP&A

What We're Looking For:

  • Strong background in payroll management
  • Working knowledge of accounting concepts (debit v. credit, journal entries)
  • Has the ability to assess and provide input into the impact of a business process change
  • Clear communication and approachability/desire to work with others
  • Great example of customer service and cross-functional teamwork

Top Secondary Skills (Nice to have)

  • ADP experience
  • Intermediate or better excel skills
  • Exposure to NetSuite
