We are looking for an Office Manager and Executive Assistant to CEO who will be instrumental in surprising and delighting our people with in-office and hybrid experiences that enable high impact. Special note: this is an on-site role requiring a minimum of 3 days a week in our San Francisco office near Jackson Square/Chinatown, sometimes up to five days a week, depending upon need.
Contribute to designing an amazing culture in our San Francisco office for all PG employees
Own the day-to-day operations of our office in Downtown San Francisco including the project management of ongoing enhancements needed to ensure optimal experience
Partner internally and externally to ensure IT is operational and working at full capacity (ie A/V, Wifi, etc)
Manage relationships with office and event vendors such as janitorial, property management, utilities, caterers, etc to ensure we are getting the best service possible for our investments
Ensure all supplies are procured proactively to provide an inviting and welcoming environment that excites people to come into the office three or more days a week
Plan and execute strategic and logistical aspects of our quarterly all company and leadership retreats including budgeting, travel, lodging, meal planning, social activities and other aspects as needed
Plan and execute other surprise and delight touch points routinely such as heritage months, birthdays, wellness weeks and other on-site special events
Partner with finance team to triage AP/AR and other accounting related matters
Oversee and support any in-office compliance requirements as needed such as OSHA, workplace safety and evacuation procedures
Provide heavy calendar management and email support for Founder/CEO
Interface with high profile stakeholders with high level of detail, professionalism, and precision as a representative of both the CEO and the company
Enable CEO to be as effective and efficient as possible by diving in on special projects as they arise
Provide light people analytics support to power performance and compensation cycles
Assist with onboarding efforts of all new hires including IT, swag and HR admin setups (we use Sequoia PEO)
Partner with Head of People on other special projects as they arise
Support recruiting with light sourcing and coordination as needed to accelerate efforts with hiring (we use Ashby)
We are looking for a few specific things that will help you succeed in this role:
At least 1-2 years of experience in a fast-paced environment (preferably a tech startup under 50 employees) managing a worksite facility
Project Management: you love a good project plan and lead the way by forecasting time needed to complete projects successfully and on time (we use Asana, Miro and Google Sheets)
Attention to detail: has anyone ever told you that you happen to notice things no one else might ever catch? Yes, we are looking for you! Five steps ahead, always looking out for the little things that can become big things very quickly
Executive support: you have supported an executive, senior leader or an owner of a business and, while you can’t read minds, you have a knack for active listening and anticipating needs (we use Google Calendar and Gmail)
Event planning: you have experience curating meaningful in-person and hybrid experiences for people while at work…whether an in-office happy hour, or large scale multi-day retreat, you’ve managed budgets, vendors and internal stakeholders to wow attendees
Analytical thinking: you have Intermediate to advanced level spreadsheet skills and know how to easily whip around formulas and pivots
Natural curiosity: you’re excited to learn more about what makes a genetics AI company tick
Recruiting: you have a background in supporting recruiting teams with complex interview scheduling across multiple time zones (preferably in Ashby) and have experience using LinkedIn Recruiter or other tools to source candidates for a variety of roles
A keen eye for functional yet pleasing workplace design including an obsession for plants (and the ability to keep them thriving)

The salary range for this role is $68,000-$98,000 annually. Actual compensation offered will depend on several factors including but not limited to: work experience, education, skill level, and/or other business and organizational needs.
This is a hybrid role that will require working on-site 3 days a week in San Francisco, some weeks up to five days. Local candidates only. Relocation is not offered for this role.
