The Program Coordinator provides advanced support and coordination for Programs housed within the Marlboro Institute: the Interdisciplinary Studies (IDS) Major, the Honors Program, and the Emerson Prison Initiative (EPI) This role directly supports the faculty directors and Associate Director who oversee programming, including managing academic documents and files, creating reports and maintaining databases, responding to inquiries and providing detailed information to constituents, preserving institutional memory of programs, developing marketing materials, and coordinating event logistics, as well as providing additional project support to the faculty directors of each program, the Associate Director, and the Dean of Liberal Arts. This role requires great communication across the department, organization skills, a strong understanding of higher education and the ability to adapt to change.

ESSENTIAL JOB DUTIES
  • Support processes related to the IDS Major and the Honors Program.
  • Provide high-level administrative support to the Associate Director and to the faculty directors of the Interdisciplinary Studies (IDS) Major, the Honors Program, and the Emerson Prison Initiative.
  • Support the IDS major application and senior capstone application review and revision processes (~20 major applications in each student's sophomore year and about the same number expected of capstone application revisions in the junior and senior years).
  • Communicate IDS student application feedback and deadlines to students.
  • Manage the student database, email group, and all student records related to the IDS major, including the IDS Major Plan Form, Requests to Amend the IDS Major, Senior Capstone Application and Senior Capstone Abstract, and Senior Capstone Funding Application.
  • Coordinate event logistics for each program, including seminars, lectures and other special events such as welcome and orientation, graduation, and student showcases. Design invitations, determine venue, audio visual and other room set up, mediation and catering needs.
  • Oversee financial processes related to honors and IDS students, including student awards for the IDS major and Honors Program and coordination of payment for award-winners, capstone funding recipients, honors thesis funding recipients, and the national honors conference attendees, and assignment and payment of Reader/Viewers and Outside Evaluators for the IDS Senior Capstones.
  • Track program/project spending; review budget with manager and make recommendations for purchases or cost saving and execute financial transactions.
  • Participates in the creation and updating of promotional materials, including Admissions events, website and social media platforms (Facebook and Instagram).
  • Conduct research projects designated by the Dean or Associate Director and draft reports on results, including research on similar programming
  • Initiate purchase of material and supplies for each academic program and related projects or events.
  • Coordinate meetings related to the IDS major, including weekly meetings with the Marlboro Undergraduate Curriculum Coordinator, check-ins with faculty teaching MI seminar courses, and meetings with Chairs and Program Directors to review guidelines for designing the major; coordinate meetings as necessary with the Honors Program Director.
  • Assist in writing, editing and designing applications and documents for IDS students and faculty, including updating the Student Handbook, Faculty Guide, and Guide to Designing the IDS Major annually to reflect curriculum changes.
  • Assist in updating and editing the web pages for each program, posting social media material, and maintaining updated student email lists.
  • Respond to inquiries and provide information about the IDS major to current and prospective students, faculty, and staff; research and resolve problems or concerns related to the IDS major, its students, and the faculty.
  • Manage IDS Curriculum Committee files, folders and meeting notes and track related action items for student applications.
  • Act as a liaison between members of the IDS Committee and IDS Spine Committee to help coordinate academic and social events, community building activities, and continuity programming. May attend committee meetings as necessary.
  • Provide general administrative support for EPI (up to 10 hours/week)
  • Provide guidance and work direction to student workers providing office support and posting to social media and assist in their training. All other duties as assigned

QUALIFICATIONS - Qualifications are deemed required or preferred and represent what is needed to effectively perform job.
  • Bachelor's degree in a liberal art field strongly preferred
  • 2-4 years of experience in higher education with progression of responsibilities or equivalent professional experience

KNOWLEDGE, SKILLS, AND ABILITIES - May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.
  • Ability to be flexible and comfortable with fluidity of departmental processes and systems related to academic programming
  • Prior experience acting as a liaison between faculty and students
  • Understanding of higher education curriculum and academic processes,
  • Ability to drive projects and initiatives,
  • Capacity to solve problems independently or as a team when necessary,
  • Proven ability to understand interconnections among staff roles and responsibilities and faculty as they relate to various academic programming,
  • Strong organizational and communication skills,
  • Positive and proactive attitude are a plus as is a willingness and desire to actively participate in and serve on various academic committees.
  • Intermediate knowledge of higher education administration
  • Demonstrated ability to support a team in the execution of complex processes
  • Detail orientation and conceptual aptitude
  • Demonstrated ability to support faculty, students and staff through strong communication skills
  • Ability to work both collaboratively and autonomously with a high level of attention to detail and analysis while maintaining team communication about joint projects

COMPENSATION

Starting salary for this position will be between $ 26.09 - $ 31.96 hourly, commensurate with experience.

Grade of Position: S-23-07NE

Scheduled Weekly Hours: 36.25

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
