Primary Functions:

The primary function of this position is to manage and coordinate rail cars and heavy haul trucking for the loading of project cargo from manufacturer and ports to offload sites, moving with a primary rail component. This position deals with a lot of communicating with various players from customers, field crews, rail roads, short lines, heavy haul carriers, ports, and off load sites from the start of a project until its completion.


Basic Qualifications:

A highly effective Project Coordinator 2 is able to effectively multitask and communicate with various internal and external stakeholders to facilitate the successful execution of the movement of rail and heavy haul project freight. Attention to detail, a good knowledge of Microsoft Office and excellent communications skills are a must for this role.


Position Responsibilities:

  • Participate in weekly planning calls with customers, plants, field project personnel etc.
  • Daily project updates pertaining to project activities, going out to all the appropriate parties.
  • Work with customers on project schedules, equipment needs, timing, any modifications needed for equipment, and identifying modifications if needed.
  • Work with on-site field personnel to ensure delivery schedules are met.
  • Working with Class 1 railroads/short lines, on car needs, switching, marshaling etc. on loaded/empty cars.
  • Fleet management- tracking and tracing all cars, loaded/empty.
  • Communicating with field crews for updates to the customer.
  • Coordinate dimensional inspections for all High Wide moves.
  • Request/coordinate power and crew where appropriate for loaded/empty trains.
  • Manifest creation/audit.
  • Way billing/rail billing loaded/empty trains.
  • Report creation/generation.
  • Entering data into various software systems: Mercury Gate, Excel, GE track and trace model, etc.
  • Empty release trains when appropriate.
  • Equipment exception management.
  • Invoice generation, approval, and disputes.
  • Perform any other related duties as required or assigned.

Education and/or Experience Qualifications:

  • High school or GED, plus specialized schooling and/or on the job education in a specific skill area, e.g., data processing, clerical/administrative, equipment operation required.
  • 3+ year related experience and/or training, or equivalent combination of education and experience required.
