What you will do:
Job Summary:
The purpose of this job is to perform support functions for purchasing staff in accordance with established policies. Communicates indicated order information to end users as directed by purchasing staff. Assists in production and coordination of various reports. Assists in recall response management. Provides clerical support for purchasing, contracts and decision support staff within the purchasing department. This position under the direct supervision of the Director of Purchasing.

- Follows identified procedures in the performance of job functions.
- Identifies and brings to manager's attention, potential deviation from procedures.
Corporate Compliance
- Abides by all of the applicable policies, procedures and guidelines of NorthShore and assists in the administration of the NorthShore.
- Ensures that actionable items are resolved in a timely fashion or moved to a higher level within the corporate structure of NorthShore.
- Agrees to prepare and provide aggregate reports for the Corporate Compliance Committee in a timely fashion.
Supports department clerical activities
- Support secretarial needs of purchasing, contracts or decision support staff for faxes, mailing, etc.
- Maintains and updates required departmental files for orders, contracts, etc.
- Assist with distribution of departmental mail and documents.
- Records and transcribes meeting minutes as required.
Provide buyer support
- Procure and process order confirmations, advising buyers of delivery and price conflicts.
- Update end-users as appropriate on delivery issues.
- Process order expediting report, advising buyers of order issues.
- Obtain proof of deliveries as appropriate from expediting report.
- Support departmental-directed receiving activities as appropriate (approved INR, ABM, North American, etc.)
- Obtain W-9 or other documents from vendors as requested by buyers.
- Perform system look-up activities, or templates maintenance requested.
- Perform data entry on indicated orders for buyers to release to purchase orders.
Support product recall reporting
- Maintain documentation of recalls sent to departments.
- Compile recall response for reporting.
- Follow-up on delinquent responses.
Building/Departmental Support
- Maintain coverage for reception at department and building as assigned.
- Maintain phone coverage for Purchasing department main phones.
Performs other duties as assigned to support Purchasing Department
