We are seeking an experienced and proactive Executive Assistant to support the Tax Practice Leader by managing scheduling, data analysis, and administrative processes. This role is essential in ensuring smooth operations, optimizing resource allocation, and enhancing business outcomes. The successful candidate will possess strong organizational skills, the ability to manage multiple priorities, and a collaborative approach to problem-solving. 

Responsibilities

  • Coordinate and manage the Tax Practice Leader’s schedule regarding office visits, meetings and appointments 
  • Manage scheduling tools to optimize availability and resource allocation  
  • Collaborate with the administrative team to facilitate timely and effective client communication via phone and email, driving business engagement  
  • Track services provided by external vendors and manage the submission of invoices to the Finance Department  
  • Oversee tax pool reporting using tools like Power BI to assist with scheduling and workload distribution
  • Conduct research calls in collaboration with the Tax Practice Leader to develop and refine centralized administrative processes for enhanced efficiency
  • Train Administrative Assistants as needed to ensure consistency in administrative practices  
  • Assist in the coordination and execution of tax training programs in collaboration with the Learning and Development team 
  • Assist with projects as needed 
  • High School diploma required 
  • Associates or Bachelors degree preferred 
  • 3 – 5 years experience working in a professional business environment  
  • Prior experience working in a tax or corporate environment is preferred 
  • Project Management experience desired 
  • Efficient using Microsoft Office Suite 
  • Attention to detail and accuracy in all work 
  • Excellent interpersonal skills and the ability to work collaboratively 
  • Exceptional organizational and time-management abilities 
  • Experience with STAR/CCH/FirmFlow software is a plus
