Receptionist

Our Atlanta studio is seeking a friendly, organized, and professional Receptionist to be the first point of contact for our office. As a Receptionist, you will play a crucial role in providing exceptional customer service and creating a positive impression of our organization. Primary responsibilities will include greeting visitors, answering phone calls, managing inquiries, and assisting with administrative tasks. The ideal candidate should possess excellent communication skills, a welcoming demeanor, and the ability to multitask in a fast-paced environment.

Core Responsibilities of the Receptionist:

  • Greet and welcome visitors with a friendly and professional demeanor, ensuring a positive first impression of Perkins and Will.
  • Answer and direct incoming phone calls to the appropriate individuals or departments, promptly and courteously.
  • Respond to inquiries from clients, customers, and employees, providing accurate information or routing them to the appropriate resources.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • On occasion, assist hospitality coordinator with ordering and setting up lunches for our client and staff.
  • Assist with scheduling appointments, meetings, and conference room reservations.
  • Provide administrative support to various departments, including document preparation, data entry, and filing.
  • Coordinate and arrange travel accommodations and itineraries as required.
  • Follow company procedures for security, health, and safety to maintain a safe working environment.
  • Collaborate with other administrative staff to ensure efficient operations and provide support as needed.
  • Stay updated on company policies, procedures, and upcoming events to provide accurate information to visitors and employees.
  • Adhere to professional and ethical standards, maintaining confidentiality of sensitive information.

Qualifications:

  • Proven experience as a receptionist, front desk representative, or in a similar customer-facing role is prefered.
  • Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
  • Strong organizational and multitasking abilities, with exceptional attention to detail.
  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to handle a high volume of calls and inquiries in a courteous and efficient manner.
  • Positive attitude, pleasant personality, and a customer service-oriented mindset.
  • Ability to remain calm and composed in stressful situations, demonstrating problem-solving skills.
  • Professional appearance and demeanor, with excellent telephone etiquette.
  • Dependable, punctual, and committed to maintaining confidentiality.
  • Candidate MUST be able to arrive no later than 8:15am every day and on occasion, arrive earlier if requested in advance.
  • Ability to work independently as well as in a team environment.
  • Flexibility to adapt to changing priorities and handle unexpected situations effectively.

We are open to having someone in a more part-time role but require daily front desk coverage at 8:15am. Candidates who cannot meet this early morning requirement will NOT be considered.
