The Callsign Receptionist is a welcoming presence for the business with a variety of responsibilities, that cover all aspects of reception as well as the administrative support and ensure the smooth day to day running of the office, maintaining a slick representation at all times. Someone who is passionate about delivering 5*, bubbly and friendly attitude, proactive and able to think outside the box.


Requirements

  • Meet and greet clients, answering incoming calls, liaise with the ground floor reception, ensure preregistration of guests.
  • Providing guests with a visitors pass, ensuring the completion of the Sequr system (signing of NDA), ensuring new joiners are issued with passes, providing temporary passes when required
  • Management of meeting room allocation, plus frequent checks of meeting rooms to ensure presentable at all times e.g all furniture in position/all IT kit and TV controls are presents etc. Resolving clashes and monitor the usage of rooms.
  • Organization and purchasing of refreshments for meetings and office events, such as hunger games, all hands and weekly breakfasts , lunches, Thursday drinks along with the daily fruit & milk supply
  • Liaising with Loading Bay for post and deliveries, plus sending couriers
  • Be the first point of contact and provide daily assistance to Callsign employees or guests requirements - meeting rooms issues, medical kit, phone adaptors . Replying to all e-mails and teams messages on a daily basis, all queries must be looked into.
  • Running errands e.g. post office, office/kitchen supplies
  • Monitoring kitchen supplies and stationery/printer supplies with a daily stocktake, daily cleaning of the coffee machine
  • Assisting with purchasing of furniture and stationary when needed
  • Managing the allocation of the lockers and pedestals, sourcing replacement keys. Allocating cycle and changing room lockers/liaising with security for cycle bay access card and landlords on allocation
  • Bi monthly audits of wardrobes and office space – general office tidiness


In Addition

Ensure that the desk is not left unattended between the hours of 08.00 – 17.00 & flexible approach to working hours.

Maintain a neat and well-groomed appearance - Business attire.

Welcome every guest in a friendly polite manner

Ensure that the security policy is adhered too and the correct passes are distributed

Logicially resolve issues in a quick efficient manner

Undertake regular stocktakes to ensure that events are fully caterer in a timely manner. Cater for dietary requirements.

Build relationships with the facilities teams and other tenants within the building.

Build a rapport with the Callsign team, always be friendly and helpful.

Always be available to assist no matter how big or small the task.

Always be one step ahead and regularly monitor and re order items.

Aid in researching of the Items In question, provide varied options.

Ensure spreadsheets are up to date, ensuring joiners and leavers are captured. Work closely with the building management on the allocation of their facilities.

Continue to establish office tidiness at all times, or report relevent faults to engineers and follow up until completed.

Work as a team to create a suitable rota.

Maintain an attentive posture & smile to everyone.
