The Executive Assistant plays a pivotal role in supporting the CEO and COO by streamlining daily operations and assuming a wide range of responsibilities. The core objective of this role is to enhance the efficiency and effectiveness of these executives by serving as a versatile and dependable support resource.
Key Responsibilities:
Schedule Management: Meticulously maintain and organize the executives' calendars,
ensuring optimal time allocation and preventing scheduling conflicts. Proactively manage
meeting invitations, coordinate logistics, and resolve scheduling issues.
Meeting Support: Attend meetings, take comprehensive and accurate notes, and
prepare concise summaries that capture key discussions, decisions, and action items.
Follow up on those action items with those involved in the meeting and decisions.
Documentation and Process Management: Develop and maintain comprehensive
documentation for processes, programs, and projects. Create standardized forms and
templates to streamline workflows and ensure consistency. Coordinate with stakeholders
to build process flow diagrams that reflect the current state of processes.
Contract and Legal Document Management: Assist with the preparation, review, and
organization of legal documents and contracts. Maintain a centralized and easily
accessible contract management system.
Vendor Relations: Cultivate and manage relationships with vendors. Coordinate
communication, track deliverables, and ensure compliance with contractual obligations.
Procurement and Supply Chain Support: Assist with procurement activities for both
storefront and vendor supplies. Maintain accurate inventory records and coordinate with
suppliers to ensure timely delivery of goods.
Knowledge Management: Contribute to the development and maintenance of the
company's knowledge base and operational manuals. Organize and update information
to facilitate easy access and retrieval.
Reporting: Prepare regular reports on key metrics and activities. Provide updates on
progress, identify potential issues, and offer recommendations for improvement.
Measurable Outcomes
Effective Schedule Management: Absence of scheduling conflicts and efficient
utilization of executives' time.
Timely and Accurate Documentation: Meeting notes, summaries, reports, and
contracts are completed and filed within established deadlines.
