JOB MISSION:
As Retail Administrative Assistant, you will provide a wide range of administrative support to the VP of Retail, Director of NB Owned Stores and Senior General Merchandising Manager. This includes preparing correspondence; coordinating travel, preparing expense reports, purchase orders, office supply orders, catering orders (set up and clean up). The Administrative Assistant will respond tactfully and promptly to inquiries and problems within your scope of established authority; handle confidential information; and coordinate a full range of meeting, event and travel arrangements. This opportunity also involves utilizing your computer skills to create presentations often under tight time-frames.
MAJOR ACCOUNTABILITIES:
Preparing a variety of reports, correspondence, manuals and presentations utilizing a variety of software including Word, Excel, and Power Point and Diver
Maintain confidential documents and files and legal customer agreements.
Edit documents, schedule meetings, process expense reports, track PTO and assist with special projects as needed.
Responsible for making travel arrangements and coordinating all logistics for off-site meetings Interfaces with senior management across the organization and internal/external customers on a regular basis.
Coordinates and leads logistical planning of annual Managers Meeting as the primary support to the retail leadership team.
Plans Grand Opening (GO) of new retail stores by assisting with travel planning for Grand Openings and ensures new stores have all required supplies and kits
Work collaboratively with facilities, IT, Loss Prevention, cross functional teams, and other department administrative assistants
Full range of internal and external meeting/event planning, including room set up, catering orders (set up and clean up) and any other needs desired by the event owner.
REQUIREMENTS FOR SUCCESS:
Associate’s degree plus a minimum of 2 years of related experience as an administrative assistant
Experience event planning and/or retail store openings a plus
Strong project management skills
Superior communication skills, both written and verbal.
Excellent computer skills—Microsoft Office, Adobe
Ability to interact confidently with all levels of senior management and internal and external customers.

Flexible Work Schedule

New Balance Associates currently work in office three days per week (Tuesday, Wednesday, and Thursday). Our offices are fully open, and amenities are available across our North American office locations.
