POSITION PURPOSE
Responsible for all company-wide mail operations. Completes daily or as needed inserting of large or special mailings. Posts mail and prepares it for outside processing. Accurately tracks incoming packages. Prepares outgoing packages for branches or destinations. Monitors postage usage in various accounts, obtaining replenishment of postage funds. Maintains usage and statistic mailroom reports. Provides backup for other Facilities Services Specialists. Completes courier services for daily schedule, and unscheduled runs as needed Prepares outgoing courier material to branches. Completes miscellaneous tasks and special projects for the FMS team.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
· Pick up open, and sort mail from the post office; deliver mail bag to Payment Operations.
· Complete specialized courier services, as needed.
· Complete various inserting, folding, and stuffing projects for outgoing mail.
· Maintain package scanning and tracking processes.
· Prepare outgoing mail to be delivered to the post office
· Prepare packages forexpress mail services, and United Parcel Service.
· Maintain postage records and obtain replenishment funds for postage meter, Postage Due, and Business Reply Mail accounts.
· Maintain usage and statistic spreadsheet reports related to mail, incoming package distribution, return mail, and other volumes.
· Provides cost- and time-savings statistics.
· Maintain safe and properly maintained mailroom equipment, including inserting machine, tracking, copier, and postage machine.
· Evaluate mail processes and make recommendations for improvement; communicate with teams and branches for proper formatting of letters and envelopes.
· Coordinate with vendors on mail services, schedules, and pickup locations.
· Monitor and complete assigned service ticket requests.
· Coordinate and ensure that adequate supplies are available for special mailings.
· Assist other team members in completing specialized tasks and projects.
· Perform special projects, as assigned.
· Responsible for personal corporate credit card purchases and preparing monthly expense reports, detailing all expenses and charging them to appropriate GL codes.
· In absence of Facilities Services Specialist, assists with additional duties.
· Perform other duties, as assigned.
QUALIFICATIONS
Education/Certification:
High school diploma, or equivalent.
Certification:
- California Driver’s License with driving record that meets SAFE’s Motor Vehicle Policy.
Required Knowledge:
One to five years of related experience.
