Sales & Events Coordinator

The Pan Pacific Whistler is looking for an Events and Sales Coordinator to provide administrative and ground support in group sales, and event execution. Responsibilities include (but are not limited to):

  • Work closely with the Director of Sales to assist in preparing group resumes, function sheets, Banquet Event Orders and rooming lists.
  • Enter group rooming lists in Opera and generate group invoices.
  • Assist with collecting group payments.
  • In collaboration with the Director of Sales, engage clients and respond to sales enquiries.
  • Communicate and exchange information with the Front Office and other departments as needed.
  • Welcome group clients upon arrival to the hotel in the absence of the Director of Sales.
  • Ensure the correct and complete function room set-up, liaising with catering to confirm proper execution of the client requests are in place for group functions in advance of the start time.
  • Act as a Banquet Attendant if needed, tear up and set up events, serve drinks and meals to guest, greet and assist guests queries
  • Assist the Director of Sales with clients' last minute changes or concerns to ensure successful functions and exceed our client's expectations.
  • Respond to guest inquiries and concerns immediately and offer all possible assistance in a professional and positive manner.
  • Resolve guest and employee complaints, keeping the Director of Sales informed of any risk or opportunity in relation to any experience or interaction.
  • Assist with month-end reporting.
  • Provide daily administrative support including, but not limited to preparing gift certificates and Sales Kits, compiling trace reports, preparing welcome cards, drafting contracts and proposals, and creating group blocks in PMS.
  • Demonstrate the ability to preform all duties required f a bartender and server and offer hands-on approach when needed to support the F&B team as required.
  • Maintain professional business confidentiality.
  • Any additional duties or special projects as assigned by the Director of Sales and Director of Operations.

Qualifications:

  • A minimum of 2-3 years’ experience in Guest Services is required. Previous hotel experience is preferred.
  • Previous experience using Opera PMS is preferred.
  • Ability to communicate fluently in English both written and verbally in a professional business level. A second language is an asset.
  • Good Microsoft Office skills with the ability to prepare reports and manipulate data in Excel. Good knowledge of computers and office equipment.
  • Very organized and detail oriented.
  • Must possess a passion for customer service and have great interpersonal skills to effectively deal with all contacts.
  • Professional appearance and demeanor.
  • Ability to prioritize and multi-task multiple priorities.
  • 1+ years serving experience required
  • A people person who loves to create memorable experiences for every guest.
  • Serving it Right is required.

Job Type: Full-time

Salary: $50,000.00-$55,000.00 per year
