We currently have an exceptional opportunity for a self-motivated Senior Administrator II to join our office in New York, NY. The candidate will possess exceptional organizational and communication skills and will assist with the administrative needs of the Chief Administrative Officer as well as the Directors of Accounting & Finance, Human Resources, and Syska's General Counsel.

Job Responsibilities

As a Senior Administrator II, you will have a full range of administrative responsibilities for projects assigned including adherence to administrative standards and processes. You will establish and maintain excellent working relationships and respond to requests in a timely manner while utilizing the resources and best practices of our administrative division.

Senior Administrator II- Primary responsibilities include but are not limited to:

  • Book travel and coordinate itineraries as needed for the above-referenced departmental heads.
  • Set up conference rooms for meetings including presentations, video conferencing, etc.
  • Coordinate/maintain appointment calendars for external and internal meetings.
  • Take and distribute meeting minutes.
  • Arrange catering for meetings.
  • Process expense reimbursements for departmental heads.
  • Set up and order lunch for departmental meetings Coordinate and prepare for corporate/company events.
  • Act as backup for executive administrative team members during vacations or as needed.
  • Assist the Chief Administrative Officer with analysis, budgets, communications, etc.
  • Assist in preparing correspondence and reports.
  • Greeting and assisting visitors for departmental heads.
  • Request insurance certificates when required.
  • Submit vendor invoices to accounts payable.
  • Maintain files in accordance with company filing procedures.
  • Ensure all company documentation is archived and purged according to the company's record retention policy.
  • Coordinate and arrange outgoing messenger/FedEx services for departmental heads.
  • Perform data entry and prepare reports for management as directed.
  • Prepare project organization and communication charts.
  • Help with managing business registrations and firm licensure.
  • Other duties as assigned by the departmental team leaders.

Job Requirements

  • High School Diploma or equivalent work experience; Associate/ Bachelor's degree, a plus!
  • 7-10 years of experience as an administrative professional
  • Proficient in Microsoft Office Suite including Outlook, Word, PowerPoint, and Adobe Acrobat & Reader; strong proficiency with Excel required.
  • Knowledge of the Architecture and Engineering industry, a plus!
  • Proven ability to work effectively both independently and in a team-based environment.
  • Demonstrate a willingness to be flexible and adaptable to changing priorities.
  • Strong multitasking and exceptional organization skills with extreme attention to detail
  • Ability to maintain a high level of professionalism and strict confidentiality, as appropriate.
  • Flexible to work overtime as needed.

The salary range listed below is for this job posting. The actual pay range for candidates will be commensurate with the candidate's experience, skillsets, and competencies and may differ based on the cost of labor in their specific location.



Pay range: $55,062 - $102,486.
