Senior Executive Assistant

We are looking for an experienced and highly driven individual to support our Chief Executive Officer (CEO). You will be responsible for keeping the CEO organized and on track by helping to manage calendars, coordinating team projects and travel/offsites and building strong relationships cross-functionally with key stakeholders in other departments.

Where you can make an impact:

  • Schedule and manage demanding Google calendars, prioritize & resolve schedule conflicts, handle scheduling challenges arising from urgent requests from C-suite staff, external contacts and internal team members
  • Liaise with senior level executives and BoD
  • Coordinate domestic and international travel, including post-travel debrief, expense reports, etc.
  • Partner closely for organizational planning, team events, on-sites & off-sites, staff meetings, interviews, including coordinating catering services

Ideal background:

  • Minimum 5+ years of high level, supporting senior level executives based in HQs
  • A strong team player, who thrives in a collaborative setting and works well within a global, matrixed environment, able to work with individuals at all levels of the organization
  • Pro-active, polished, positive and personable with excellent communication skills and an upbeat, “can do” attitude- willing to take initiative with confidence
  • Proven ability to keep a calm head, think clearly, creatively solve problems and make decisions under pressure
  • Resilient, ability to manage multiple projects and deliver quality work to deadlines
  • Experience supporting an Engineering executive and team a plus
  • Discretion, diplomacy and excellent judgment; high degree of integrity when dealing with confidential and sensitive information
  • Meticulous attention to detail
  • Advanced proficiency with Gmail, Google Calendar as well as key applications such as Word, Excel, Powerpoint
  • Experience with international and domestic travel itineraries
  • Highly responsive and experienced working with highly confidential data
