Primary Purpose:
Responsible for maintaining all special education student records.
Qualifications/Skills:
Education/Certification:
High school diploma or equivalent.
Special Knowledge/Skills:
Minimum Assessment Standard: Broad knowledge of MS Word and basic knowledge of MS Excel.
File maintenance skills.
Effective organizational, communication and interpersonal skills.
Ability to use personal computer and software.
Experience:
Previous successful office experience.
Major Duties and Responsibilities:
Clerical Support:
Accumulate and distribute ARD, appraisal and diagnostic information to schools, districts, hospitals, parents, adult students and regulatory agencies.
Maintain records database to track fulfillment of records requests.
Purge contents of audit files as prescribed by retention parameters and prepare purged files for permanent storage.
Coordinate and maintain information from Esped, PEIMS and Skyward data systems. Facilitate the distribution of open records requests.
Respond to queries regarding student files from within the district and from agencies outside of the district.
Create and maintain department spread sheets and data bases.
Prepare requisitions and monitor inventories as needed.
Records and Reports:
Maintain central files of all original documents of student confidential audit files for all Special Education students in the district.
Receive new original ARD documents, evaluation reports and all supporting documents from individual campuses and file with original student confidential audit files throughout the school year.
Provide information and copies from central confidential student audit files to appropriate parties as requested.
Organize and maintain central district special education files using automated records retrieval system.
Other:
Maintain confidentiality of information.
Perform other duties as assigned.

Moving small stacks of textbooks, boxes, equipment and other campus equipment disabilities (e.g. ability to lift 30 lbs.). .
May require occasional extended hours.
