Sr Administrative Assistant - School of Applied Human Development

Summary

Provides assistance to School Director and other School administrators regarding budgetary function and overall operations of the School to aid in decision making. Processes and authorizes expenditures for multiple School operation, grant, fee, and rotary budgets. Assumes authority in absence of administrators. Serves as liaison between administrators and faculty/staff/students/outside constituents. Coordinates and inputs course schedule development; assists students with registration and processes wait lists. Maintains school files and appointments. Manages office administratively and deals with problems that arise. Plans and carries out School events. Trains new employees, including faculty and staff. Prepares and coordinates human resource functions which includes faculty searches. Makes travel arrangements for faculty and study abroad opportunities for students.

Essential Functions

  • Manage office administratively. Plan and carry out school events, schedule meetings, maintain conference rooms and classroom calendars, etc. Coordinate and analyzes school’s course schedule development with program area coordinators and director based on University guidelines and processes lists.
  • Serves as a liaison between Director and faculty/staff/outside constituents. Edits and proofreads. Assumes authority in absence of administrator.
  • Manages and monitors operating, personnel and project budgets including operating, grant, fee, and foundation. Reconciles monthly expenses and provides overview and recommendations to Director.
  • Research/analyze and provide data to report annually for accreditation for all accredited programs in the School of Applied Human Development.
  • Coordinates faculty/staff searches and hires for full and part time by implementing the recruitment process. Processes forms, place advertisements, make travel arrangements, planning itineraries and updating HCM with faculty/staff applicants. Prepares contract requests.

Minimum Qualifications

The following experience is required
  • One to two years related experience required; must include progressive administrative experience

The following education is required

  • High school diploma or GED required

  • Ability to carry out verbal and/or written instructions
  • Ability to effectively communicate, verbally and written
  • Detailed-oriented and highly accurate

  • Ability to interact effectively with students, faculty and/or staff or the public and represent BGSU appropriately
  • Ability to coordinate or lead others in accomplishing work activities
  • Knowledge of computer skills, such as MS Office, presentations, spreadsheets and/or database entry/query
  • Ability to query, run reports, and modify data in financial systems
  • Ability to access and maintain document imaging systems, including scanning, and filing documents
  • Ability to operate computers and peripheral equipment such as printers
  • Ability to draft office correspondence
