Purpose of the Position:
The Staff Assistant will assist the director in the day-to-day management of the Early Learning Center office. The Staff Assistant is the first point of contact for our families, manages the school calendar, handles registration, keeps student files up to date, and aids in administrative duties for the director and assistant director.
Duties/Responsibilities
Assist director and assistant director in all aspects of office management as assigned. This may include but is not limited to filing, answering the phone, returning emails, preparing signage, newsletters, maintaining sign in sheets for therapists, visitors, & students, scheduling appointments and tours, maintaining the ELC calendar, and daily lunch count.
Point of contact for the ELC for our families, students, faculty, and staff.
Complete student files and keep up to date records for students- including, but not limited to immunizations and records requests.
Enter and keep records of service and work orders, grounds, and point of contact for facilities.
Weekly attendance spreadsheets and reports.
Make copies, laminate, update bulletin board monthly.
Receipt all payments and enter in Brightwheel, verify deposits.
Reconcile p-cards monthly.
Camera access for security.
Schedule emergency drills.
Create forms and work with copy center.
Request and keep track of badge access to the ELC building.
Point of contact for registration and keeping track of applications.
Maintain and update ELC website.
Brighwheel contact lead.
Manage room requests.
Liaison with CAPNA.
Calling parents to pick up sick child.
Request student records.
Organize fundraisers: book fair, pictures, etc.
Arrive on time, be professional, and display positive attitude.
Take initiative in recognizing what needs to be done and doing it.
Other duties as assigned
Minimum Requirements:
High school education or equivalent
3-5 years of full-time verifiable secretarial/administrative work experience
Familiar with Microsoft Office products
Must possess strong people skills and excellent written and oral communication skills
Desired Qualifications:
Bachelor's degree is preferred
Proficient in Microsoft Office products is desired
Familiar with Early Childhood Education and a childcare environment is preferred

$33,855 - $35,000
