Job Summary
Reporting to the Department Administrator in the Office for Faculty Affairs, the staff assistant is responsible for providing a wide range of administrative support of varying complexity and will be working with minimal supervision. They should develop a strong sense of the mission and function of the office in order to most effectively support everyday operations and projects as needed.
Position Description
- Serves as first point of contact for the Office for Faculty Affairs.
- Proofreads letters, reports, memos for style, grammar, and accuracy, drafts correspondence, and finalizes documents for posting and distribution.
- Assists with event planning, including room reservations, catering, tracking RSVPs and sending reminders.
- Monitors and updates websites as needed, such as adding events to calendar, uploading documents or data, and updating language on existing content.
- Processes actions related to retirement agreements.
- Processes financial payments and reimbursements using Concur and Oracle platforms.
- Assists with archiving and updating/organizing current filing system – working toward a fully electronic system. Maintains accurate and organized electronic and paper files for the office, practicing careful version control of all documents with logical naming conventions
- Performs general office duties including photocopying, filing, ordering office supplies.
- Supports other members of the team by assisting with components of projects on an as-needed basis.
Basic Qualifications
3+ years of administrative support or related experience in a business or customer service environment.
Additional Qualifications and Skills
Must be proactive and have the ability to prioritize. Should have a solid knowledge of Microsoft Office and be technologically savvy. Must have strong written communication skills. Demonstrated good judgment, tact, and discretion in handling sensitive and confidential information. Must be a professional, proactive, collaborative, conscientious, and results-oriented individual.
