Position Description
HBS seeks an individual to provide administrative support to the Program Director of the U.S. Competitiveness and the Managing the Future of Work teams.
The U.S. Competitiveness Project is a research-led effort to understand and improve the competitiveness of the United States—that is, the ability of firms operating in the U.S. to compete successfully in the global economy while supporting high and rising living standards for Americans. The Project focuses especially on the roles that business leaders do and can play in promoting U.S. competitiveness. The Project approaches current challenges to U.S. competitiveness as a matter of global concern, not just an American issue.
The Managing the Future of Work project pursues research that business and policy leaders can put into action to navigate the changing nature of work. As companies grapple with forces—such as rapid technological change, shifting global product and labor markets, evolving regulatory regimes, outsourcing, and the fast emergence of the gig economy—they must overcome challenges and tap opportunities to attract, retain, and improve the productivity of their human assets.
Working closely with all members of these two teams, the Staff Assistant provides high quality administrative support and has the following responsibilities:

Support both long-term and day-to-day goals of the Program Director and team members.

Provide general administrative support to both teams, including ordering supplies and catering, and requesting service and repair when necessary.

Collaborate and communicate professionally with internal and external stakeholders on behalf of the teams.

Manage complex calendars; schedules meetings between multiple stakeholders, and updates agenda/tasks as needed.

Track faculty presentations; manage room reservations and Zoom meeting administration

Proofread, edit, and maintain meeting agendas, presentation materials, etc. Assist with large mailings and collating of materials.

Coordinate the social media, marketing, and website presence for the projects, including:

Draft and publish posts on behalf of faculty to promote featured appearances and citations in media

Schedule media interviews and maintain a list of media contacts
-
Compile and track all media citations for affiliated faculty, for use across School-wide communications
-
Manage newsletter subscription lists, identify and compile relevant content for newsletter distribution, and assist on the production using HTML template
-
Proofread, edit, and maintain web presence, meeting agendas, presentation materials, etc. Assist with large mailings and collating of materials.

Update research, media, and bios on public website

Support the team with the production and distribution of Managing the Future of Work podcast

Schedule interviews, manage studio reservations and release schedule

Work with guests to organize campus visits; notify guests of episode release, coordinate episode promotion with guests on social media

Generate multimedia for use in marketing the Managing the Future of Work podcast; upload audio files for transcription

Field podcast inquiries

Help in the planning and execution of events at Harvard and at other cities across the U.S., including the Young American Leaders Program (YALP) convening young leaders from cities throughout the US, manage all logistics including but not limited to:

Communicate with participants and guests, process restaurant and classroom reservations, catering orders, A/V, parking reservations, program schedules, preparing handouts and materials, seating charts, etc.

Coordinate the nomination, invitation and registration of guests and participants

Provide essential day-of event support

Prepare and process reimbursements and invoices, track outstanding expenses, and manage payment of vendors and temporary workers

Responsible for other duties as assigned.
Basic Qualifications
- High school diploma, GED, or equivalent required.
-
3+ years of experience in customer service-oriented and/or administrative support role(s) or related experience is required.
- Education beyond high school may count towards experience.

Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.
Additional Qualifications and Skills
- Writing, editing, and proofreading experience preferred.

Strong attention to detail, customer service skills, and communication skills to deliver timely response to internal and external stakeholders.

Must be focused, collaborative, adaptable, and motivated to learn.
Working Conditions
- Ability to work occasional extended overtime hours (including some evenings and weekends) is required

This position may also include domestic or international travel depending on program needs.
Additional Information
This is a full-time term appointment starting as soon as possible through June 30, 2024, with a strong potential for re-appointment from July 1, 2023, through June 30, 2025.
This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 2-4 days per week. Specific days and schedule will be determined between you and your manager.
